Job Summary:
Position is responsible for maintaining daily entries and current balances in the facility’s ledger accounts. An accurate daily census must be kept. General secretarial duties such as filing, typing and record keeping is required. This position is required to fulfill some duties of the Office Manager
Qualifications:
- Be of legal working age
- Be able to read and follow written directions
- Be able to communicate with residents and co-workers in English
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public.
- Work overtime is necessary
Responsibilities:
- General Duties
- Maintains daily ledger entries and daily census reports
- Completes monthly billings and statements for all residents.
- Responsible for Accounts receivable, aging and collections
- Handles petty cash transactions
- Prepares payroll from time cards or system
- Records invoices for facility and forwards to the Corporate Office
- Receives and receipts payments
- Prepares and makes bank deposits
- Accurately maintains account ledgers.
- Maintains current, complete and confidential resident business files
- Takes applications and maintains employee personnel files
- Orders office supplies and materials
- Functions as a receptionist (answers phones, greets the public, directs visitors)
- Maintains close contact with the Corporate Office concerning payroll, personnel,
- Provides assistance with communications from IDPH and local authorities.

- Communicates with residents/families in a sensitive manner
- Communicates pertinent information and seeks assistance regarding resident desires as needed.
- Consistently communicates in a manner that demonstrates a positive and cooperative attitude
- Utilizes appropriate and professional body language

Role Involvement
- Performs responsibilities under the direction of the Administrator and in conjunction with other departments in a cooperative manner.
- Uses time constructively and organizes assignments for maximum productivity
- Participates in the orientation of staff. Acts as a role model to these personnel
- Attends staff meetings and in-servicing
- Offers constructive suggestions to improve the system for delivery of resident care
- Requests and accepts constructive criticism regarding own professional judgment or actions
- Identifies and utilizes appropriate lines of authority within the organizational structure.
- Manages conflict and frustrations in a positive and constructive manner

- Demonstrates support of the philosophy of administrative and business office needs by adhering to policies, procedures and established standards of practice
- Demonstrates responsibility for own standards of practice
i. Reports to work as scheduled and on time
ii. Adheres to facility policy regarding absenteeism
iii. Avoids work related injuries through the application of proper practice techniques
- Assumes responsibility for personal appearance through the Petersen Health Care dress code
- Demonstrates respect for residents rights by:
i. Maintaining strict confidentiality of resident’s information
ii. Responding to their right to information
iii. Acting as a resident advocate
iv. Provides for their privacy
- Develops a rapport with peers and co-workers that is conductive to effective resident care
- Change Process
- Suggest areas appropriate for change in a manner that demonstrates a positive attitude
- Supports the change process in a manner that demonstrates a positive attitude
- Adapts to change brought about by external and internal force in a cooperative and mature way
- Performs other duties as directed by the facility Director
Physical Requirements:
- Lift objects weighing up to 50 pounds
- Carry objects weighting up to 25 pounds
- Push or pull objects weighing up to 50 pounds
- May be required to sit for long periods during the day
- Reaching and grasping with arms and hands, including reaching above shoulder level
- Must be able to cope with stressful situations
