Job Description for Church Administrator at Zion Lutheran Accountability
The school administrator is accountable to the principal and pastor.
Responsibilities
The school administrator will…
Daily
- Assist the principal
- Answer phones
- Monitor entrance and other doors
- Check emails to see any message/faxes/voicemails
- Attendance
- Advise teachers if a student is out sick etc.
- Make sure all teachers submit attendance
- Mark students that are absent as excused/unexcused & why after calling parents to inquire per their absence
- Check previous afternoon and current morning extended care
- Receive tuition/extended care payments on Sycamore and close invoice
- Process checks for lunch deliveries and tip when needed.
- If need be, help distribute lunches to students
- Process billing for extended care
- Distribute & log medications that have been administered to students
- Mail-open & distribute
- Back up for Church Secretary when not available
Weekly
- Process bank deposits (tuition/extended care/lunch/donations)
- If donation or memorial donation send thank you or have principal send thank you
Monthly
- Create monthly lunch menu
- Print menu to disperse to students
- Enter lunch orders and payments
- Keep record of daily lunch orders
- Complete & mail State DCFS Monthly Billing Report
- Keep organized & updated new employee paperwork
- Keep organized & updated new enrollment packets
- Keep updated record of enrollment roster
- Order office supplies
- Send out past due tuition & childcare statements
As Needed
- Copy/scan student records to be transferred
- Process student records request for new students
- Enter New families/students into Sycamore
- Maintain student health records: Physical Exams, Dental Exams, and Eye Exams
- Update Student Medical Records List & Student Records List in Excel
- Organize vision & hearing screenings & re-screenings
- Keep student medication/asthma forms
- Create and distribute field trip forms and collect waiver and money
- Process athletic fees & payments
- Process and approve override transactions on Pay Junction (through Sycamore)
- Assist PTO example: make and distribute copies
- Treat students with medical issues ex: temperatures, bloody nose, stomach flu
- Process checks for referee for basketball & volleyball games (when made aware by coaches)
- Send out tuition & childcare statements for tax purposes
- Keep all school accounts payable up to date
- Process checks for New Hire Biometrics etc.
- Keep up to date records for Milk & Yearbook requests
- Assist principal with entering data and submitting reports to State School Board
Job Types: Semi Part-Time, Contract
- This position does not offer benefits
Schedule:
- Monday to Friday: 8:00 AM to 3:15 PM (when students are in session)
- Less hours needed during summer
Work Location: One location
Job Type: Semi Part-Time (off on school holidays, Thanksgiving break, Christmas break, spring break, etc.)
Salary: $15.00 - $18.00 per hour
Schedule:
- Less hours in summer (as determined by the principal)
