Front End Administrative Assistant
Description
Job Purpose
The Front End Administrative Assistant will work cooperatively with our Customer Service Team to provide administrative support for other departments within our organization. This individual will also be responsible for manning our front desk and assisting guests that visit for meetings, deliveries, and customers picking up orders.
Duties & Responsibilities
- Greeting visitors and customers picking up orders along with directing them to the appropriate person or department
- Answering phones calls, taking messages, and handling basic inquires
- Scanning shipping documents
- Printing shipping labels for small parcel shipments
- Audit freight invoices
- Accounts payable and accounts receivable experience a plus
- Arrange lunches and/or catering services for guests or team meetings. This will require maintaining a record of dietary preferences and restrictions
- Manage inventory of office supplies, coffee, and kitchen supplies ensuring we have adequate stock at all times
- Keep the kitchen area organized, clean, and stocked with necessary items
- Sort incoming mail and packages. Notifying employees when they have a delivery
- Follow company policies and procedures
- Present a professional image at all times to customers, walk ins, and vendors
- Perform other duties as assigned
Qualifications
- High School diploma
- Entry level position, experience preferred
- Professional attitude and phone etiquette
- Ability to effectively use computer software and technology as required by the company including Microsoft Word and Excel
- Effective organizational, verbal and written communication skills a must
- Ability to work professionally, effectively, and efficiently in a team environment with customers, management and co-workers.
- Must be able to multi-task effectively
- Must be a team player!
Requirements:
- This position could be part time or full time depending on the candidate we feel is the right fit
- This position reports to the Customer Service Manager
Job Types: Full-time, Part-time
Pay: $16.00 - $18.00 per hour
Expected hours: No more than 40 per week
