Description
Administrative Assistant position for an established, thriving private practice specializing in high risk obstetrics. There are multiple administrative assistant positions within the practice. Job responsibilities may be allocated to a specific administrative assistant for day-to-day duties; however, ideally all administrative assistants should be able to cover for each other, in case of absence/PTO, etc.
Responsibilities
· Open office at beginning of day and close office at end-of-day according to set procedures
· Check-in patients following new patient/existing patient protocol
· Answer phones and complete request and/or direct accordingly (intake info, messages/questions for clinicians, scheduling, billing, etc)
· Greet and manage patients at front/back office
o Check-in patients and collect documentation
o Check-out patients, book follow-ups, process payments
· Input insurance information for new patients and update for existing patients each time a patient comes in for an appointment
· Manage scheduling:
o Make appointments
o Update schedule as needed per patient and/or clinicians schedules
o Print all schedules at end of day and distribute them appropriately
· Obtain insurance pre-certification as needed for:
o New pregnancies
o Surgeries
o Ultrasounds (for specific insurance plans)
o Deliveries
· Create and help maintain patient charts
· Mail/fax/email reports as needed
· Track, order and stock medical and office supplies
· Keep office environment tidy and presentable
Qualifications
· Superior interpersonal and organizational skills and demonstrated ability to multi-task
· Able to learn and become an expert in utilizing patient management software system/applications and related technology. Strong Microsoft Office skills.
· Excellent verbal and written communication skills.
· Ability to prioritize and thrive under pressure while maintaining a positive demeanor (i.e, when phones are ringing, patients are coming in, staff has questions, etc).
· Ability to move about the practice/department and between workstations.
· Ability to adhere to HIPPA and privacy standards
· Experience in a clinical setting highly preferred. Demonstrated record of progressively responsible administrative experience in health care or clinical setting, preferably L&D or OB setting
· Proven track record of working collaboratively with physician and administrative leadership.
· Ability to occasionally lift or carry light equipment or supplies.
· Bilingual (English/Spanish, English/French) a plus!
Job Types: Full-time, Part-time
Pay: $22.00 - $26.00 per hour
