The Education Fund is a non-profit partnership between SEIU UHW-West and Healthcare Industry Employers; on a mission to accelerate the careers of over 100,000 SEIU eligible Healthcare Workers through innovative education and training solutions. Principal Purpose of Job: The Program Coordinator plays a key role in ensuring the alignment of the program department, coordinating activities of all programs throughout the organization and the support of various programs that occur in the department. The Program Coordinator is part of the Programs Department and reports to the Assistant Director of Programs. They collaborate significantly and on an ongoing basis with individuals and units across the organization including other members of the department.
Level of Authority: Works independently within the scope and direction of the Assistant Director of Programs and in accordance with organizational policies and procedures.
Work Environment: Works in a fast-paced office setting with frequent interruptions and many demands on time. The position may require interaction with external collaborators, participants, and other partners. Travel required.
Essential Functions and Responsibilities:

Program Coordinator:
- Under the supervision of the Director and/or Assistant Directors, and in cooperation with internal staff and partnering organizations, develops and coordinates the implementation of a project plan, which may include class planning and scheduling, targeted outreach, recruitment, counseling, selection, enrollment, data collection and assessment, using established or standardized forms and tools
- With guidance from the Director and/or Assistant Directors, creates team meeting agendas and leads team meetings.
- Works with the Director and/or Assistant Directors to develop and present team members’ orientation and training.
- Under the supervision of the Director and/or Assistant Directors, conducts check-ins with team members, tracking progress on the program plan and work plan, utilizing expertise in the program to provide guidance and feedback, assessing development needs, and recommending training.
- Under the direction of the Director and/or Assistant Directors, assists team members in confronting barriers to success, providing guidance and feedback where needed.
- Responsible for the coordination of a program throughout the areas served by the organization.
- Under the supervision of the Director/Assistant Directors, internal staff, and partnering organizations, develop and coordinate the implementation of a project plan, which will include planning and scheduling meetings, recruitment, selection, enrollment, data collection, and assessment, using established or standardized forms and tools.
- Working with the Director/Assistant Directors and team members, creating a program plan focusing on customer service, increased utilization, process improvement and efficiency, rollout of new program elements, improving outcomes, communications, and data collection.
- Collects and reviews data for monthly and annual program reports.
- Assures the accuracy and completeness of data collected for the program and analyzes program data, including utilization, participant surveys, communication, workflow, and efficiency, revising program plan as needed.
- Develops and coordinates program communications plan including recruitment and outreach materials (flyers, applications, catalogs, etc.), website pages, social media, email blasts, etc. Works with team members to produce success stories and other promotional articles.
- Develops and works independently to maintain relationships with program partners, including union leaders, employers, community colleges, and vendors.
- As needed, draft contracts with partnering colleges and educational vendors for review and approval by and/or Assistant Directors. Oversees the creation and editing of payment vouchers for individual students where necessary.
- Ensure that program policies and procedures are consistent throughout the Education Fund.
- Performs other tasks and responsibilities as assigned by supervisor.
- May be required to make presentations to participants, project partners, or other audiences.
- May participate as a member of a team that analyzes program performance and recommends procedures and new systems to improve efficiency and outcomes.
