We're looking for:
Bunkhouse is looking for a Conference Services Manager who will be responsible for creating seamless event coordination by working closely with sales, hotel operational departments, and customers. This includes managing all event documentation through the planning process, event execution, and post-event phases, while ensuring an exceptional client experience. This person ensures a smooth transition from sales to service, provides onsite event support, and seamlessly hands the process back to the sales team. They should be able to identify upselling opportunities, maximize revenue and profitability, and create memorable events that promote repeat business.
Knowledge, Skills, and Abilities:
- High School diploma or general education degree. College Degree preferred.
- Two (2) years related experience in sales and/or hospitality events.
- Ability to create documents in Excel and Word.
- Ability to understand computer programs.
- Great written and verbal communication skills, including conflict resolution.
- Effective sales skills to upsell products and services.
- Knowledge of menu planning, food presentations, steps of service for banquet and event operations.
- Ability to manage guest room and event space inventories with appropriate software and documentation.
- High attention to detail and proactive, organized mindset.
- Strong customer development and relationship building skills, along with appropriate communication and conflict resolution skills.
- Knowledge of overall hotel operations and how they affect individual departments.
- Ability to manage client, hotel leaders and staff expectations regarding event planning and execution.
- Professional demeanor.

Job Responsibilities:
- Communicates with clients regarding event details via emails, phone calls, and in-person visits, including post-event follow-ups, ensuring an exceptional client experience.
- Serves as liaison between sales and operations throughout the event process by detailing necessary events and group documentation. Makes presence known to clients throughout the event planning process and can solve problems and offer acceptable solutions and alternatives to clients.
- Proactively identifies operational challenges associated with groups and coordinates with hotel leaders and staff to solve potential challenges or develop alternative solutions.
- Greets client on event day and facilitates handoff to event operations team for the execution of details and confirms all meeting arrangements are to specifications. Joins pre-event stand ups with event associates in conjunction with Event Manager, where applicable.
- Availability and willingness to work weekends and irregular hours along with a dynamic schedule based on seasonal demand.
- Prepares event + group documentation to lead pre-event resume and BEO meetings with operational leaders. Responsible for sharing post-event feedback with team members.
- Manages group room blocks and meeting space for assigned groups with assistance from the sales coordinator. Ensures all function space in the hotel is well presented at all times.
- Works with operational leaders to implement updated catering offerings to encourage upsells and stay current with event trends.
Based upon fluctuating demands of the operation and to exceed customer expectations, it may be necessary to perform a multitude of different functions not specifically related to this position. This person may be expected to perform other tasks and duties as needed or as directed. Furthermore, employee responsibilities and job descriptions are subject to review and revision.
Working Conditions/Environment:
- Able to perform the essential functions consistent safely and successfully with the ADA, FMLA, and other federal , state and local standards, including meeting quality standards
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA, and other federal, state and local standards
- Must be able to lift and carry up to 25 lbs
- Must be able to sit, stand, and squat frequently
