Job Description:
SUMMARY
Provide executive administrative support for the Office of Financial Resources (OFR) at the Centers for Disease Control and Prevention (CDC).
ESSENTIAL DUTIES & RESPONSIBILITIES
- Manage the complex calendars of Executive and Senior Managers and independently scheduling appointments, often including extensive rescheduling.
- Screen incoming calls and correspondence.
- Arrange programs, events, or conferences by securing facilities, managing logistics, setting up rooms, issuing information or invitations, and coordinating speakers.
- Take minutes during meetings which includes tracking action items to ensure timelines are met.
- Create and maintain database and spreadsheet files.
- Arrange detailed travel plans and itineraries from start to finish, and compile documents for travel-related meetings.
- Compose and type non-routine correspondence in accordance with Departmental guidelines, both in draft and final form.
- Copy, fax, file, mail, and handle distribution.
- Provide office budget tracking – i.e., tracking travel plans against ceiling, supplies against ceiling.
- Unliquidated obligations (ULO) updates.
- Compile cross-cutting information into reports – mostly in Excel. Also make documents 508 Compliant for web clearance.
- Provide responsive, reliable, accountable, and respectful customer service to the Office of Financial Resources (OFR) staff, and CDC- wide.
- Ensure data, reports, and responses to inquiries or requests, are accurate, tracked, and relevant.
- Enter time and attendance data into CDC’s Time and Attendance system.
- Train new executive assistant/clerical staff members.
- Maintain regular and punctual attendance.
- Perform other duties as assigned.

MINIMUM QUALIFICATIONS
- High School Diploma or GED.
- Three (3) to five (5) years of experience of professional.
- Must be able to obtain Government Clearance. Permanent Resident Card (Green Card) or U.S. Citizenship required.
- Must obtain and maintain any necessary security access and/or background checks.
DESIRED QUALIFICATIONS & SKILLS
- General knowledge of office procedures and standard support processes.
- Knowledge of commonly used concepts, practices, and procedures.
- Work independently to complete assignments, performing tasks using knowledge of routine office procedures.
- Experience using Microsoft Office 7 (Word, Excel, Access, PowerPoint, Outlook) Adobe and other media type software.
- Excellent communication and interpersonal skills.
- Must be exceedingly well organized, flexible.
- Strong organizational skills and detail oriented.
- Ability to prioritize multiple tasks successfully.
- Demonstrated ability to perform diverse duties under operating and deadline constraints.
- Demonstrates accuracy and thoroughness; monitors own work to ensure quality.

WORK ENVIRONMENT
Work is primarily performed in a professional office setting, including the normal office equipment (e.g., computer, fax machines, copier) and with a wide variety of people in differing functions, personalities, and abilities.
PHYSICAL DEMANDS
Position consists of sitting for long periods of time, using hands/fingers, handling, reaching with hands and arms, talking, hearing, and seeing up close, at a distance, along the periphery, with depth perception and the ability to focus; occasional walking or standing, bending, kneeling, stooping, crouching, and lifting boxes weighing up to 30 pounds. Moderate to extended periods of office work with heavy periods of computer usage. Occasional to moderate periods of analytical tasks requiring extensive reasoning abilities.
