Executive Assistant / Personal Assistant to CEO
Large and growing investment firm large national real estate portfolio as well as other operating
financial businesses is looking for a dynamic Executive Assistant / Personal Assistant to our CEO. In
this position you will serve as our CEO’s right-hand person. Performing tasks that are large and small
depending on the needs of a dynamic and very busy person.
This position is full time and located in Rockland County, NY.
Responsibilities:
Typing of correspondence and emails – by dictation as well as by drafting on your own.
Handling of wire transfers (domestic and international) and check writing for payment of bills
both business and personal.
Preparing comprehensive reports, correspondence, charts, tables, graphics and other
documents using various software packages.
Ability to manage multiple, shifting priorities in a high-demand, fast-paced environment.
Calendar management and scheduling across multiple time zones.
Meeting coordination and scheduling between CEO and key Executives.
Travel planning both domestic and international for CEO (and family when needed).
Maintaining and monitoring all travel documents for renewal – Passports, Global Entry, etc.
Assist in organizing company events and personal events.
Organizing and filing of all documents and reports.
Internet research.
Some personal errands / duties as required.
Skills/Experience:
7-10 years of executive office experience supporting a CEO preferred.
Must be proficient in MS Office: Word, Excel, Outlook, and PowerPoint.
Proficiency in QuickBooks is preferred.
Steno or speed writing not required but a definite plus.
Ability to be creative and flexible in order to meet deadlines while working with changing
priorities.
Candidate should be smart, personable and highly motivated with the ability to multi-task in a
fast-paced environment.
Good oral and written communication skills a must.
Must be detail oriented to ensure accuracy.
Professional in attire and attitude with a friendly demeanor.
Must be a team player with strong interpersonal skills.
Ability to maintain discretion regarding personal and business-related matters.
Ability to be creative and flexible in order to meet deadlines while working with changing
priorities in a high demand fast paced office.

Job Type: Full-time
Pay: $60,000.00 - $75,000.00 per year
