Reports to: Development Director Schedule: Full-time, Non-exempt
Pay Rate: $21.63-24.04/hour
The Contemporary Austin is hiring a Development Coordinator who will serve as the administrative center of gravity for the department. They will ensure that the team is well synchronized, that meetings are scheduled, agendas are set, data is entered, letters are sent, donors are heard and engaged, and that other departments are aware of key priorities. Working across individual giving, institutional giving, special events and engagement and membership the development coordinator supports the department in many ways.
Responsibilities include but are not limited to:
- Provide general administrative support and project management to the department, such as:
- Performing database updates, donor briefs, pledge tracking, list pulls, gift entry, sending invoices, and maintaining grants calendar
- Processing purchase orders and generating reports
- Assisting with note taking, creating agendas, and scheduling as needed
- Manage and/or support weekly departmental meetings and meetings across departments
- Manage and fulfill mailings, including donor correspondences
- Support key development initiatives and projects as needed
- Support efforts to center donor relationships and create a warm, inviting experience across all museum fundraising efforts
- Support resource development committee by sending reminders, tracking follow-ups, and attending quarterly meetings
- Assist with events, including pulling guest lists from our database, tracking RSVPs and more for our member and donor events, and annual fundraisers, Art Dinner, and The Very ‘Rary
Qualifications:
- Ability to track timelines and move projects forward with superb comprehension skills
- Highly organized, detail-oriented, and administratively minded with an ability to prioritize and manage multiple tasks simultaneously
- Minimum of one year experience with non-profit membership program, fundraising, development, or executive support preferably in the arts
- Customer service facing skills and the ability to communication with donors and trustees in a kind and professional manner
- Key commitment to discretion and confidentiality with sensitive information
- Proficiency with CRM databases and project management software
- Proficient in Microsoft Office programs, especially working with Excel and performing mail merges
- Strong oral and written communication skills
Availability to work weekend and/or evening hours at both museum locations as needed

Preferred Qualifications
- Experience with Salesforce database
- Familiarity with Teamwork project management
- Bilingual in English and Spanish
- Experience with email marketing platform
Education and Experience:
- High school diploma required; Bachelor’s degree preferred
Physical Requirements:
- Regular office environment, including sitting, standing, walking, climbing (stairs), crouching, carrying up to 20 lbs.
- Prolonged periods of sitting at a desk and working on a computer
- Ability to occasionally work outdoors in central Texas weather conditions
