Position Title: Finance & Accounting Clerk
Department: Administration/Finance
Supervisor: Controller
Classification (FLSA): Exempt Full Time
Schedule: Monday to Friday, 9 AM – 5 PM
Essential Tasks & Responsibilities
- Responsible for researching, verifying, and resolving any discrepancies found on vendor invoices or account status
- Manage vendor relations and build effective partnerships
- Accurately enter all invoices into QuickBooks and ensure bills are allocated correctly
- Ensure all W9 information for vendors is received and documented in QuickBooks and prepare annual 1099 report to be provided to our CPA firm for tax filing.
- Prepare batch check runs and electronic payments
- Responsible for reconciling monthly credit card statements to properly submit accurate payments in a timely manner
- Responsible for accurately filing vendor statements and back up documentation to their corresponding folders
- Prepare invoices for donor’s annual pledge or special event sponsorships
- Prepare and submit biweekly payroll, updating all employee payroll deductions as needed
- Submit biweekly 401(k) reports to the organization’s retirement management company
- Responsible for all unemployment and employment verifications from prior employees.
- Submit tax exempt forms upon request from funders, vendors, and grantors.
- Assist in annual audit with external CPA firm
- Post journal entries to the general ledger when necessary
- Assist in any other duties requested by the Controller and Senior Accountant

Requirements
- PHYSICAL DEMANDS: It requires standing or sitting on a regular basis. Ability to use computer equipment, fax, copy machine, calculator etc.
- MENTAL DEMANDS: Ability to analyze problems, strategic planning and project management. Ability to manage problems with concrete variables, collect data and valid conclusions. Ability to read reports and apply concepts.
- COMMUNICATION: Excellent written and verbal language skills that would allow clear communication internally and externally.
- WORKING CONDITIONS: Work in a normal office environment which can vary if necessary. It requires transportation between different sites at times. Willing and able to work evenings when necessary and special events twice a year.
- EDUCATION AND/OR EXPERIENCE: A minimum of an Associates degree in a business related curriculum program. Must have 1 year of QuickBooks experience, payroll processing experience, and nonprofit experience. Must be adept at using Microsoft excel. Experience with Paycor a plus. Must be detail orientated and very well organized. Must be a self-starter and proactive team member.
