As the Administrative Assistant, you are the heart of an organization. You fill a priceless position that keeps teams running smoothly, handling everything from routine administrative work to managing executive schedules, division wide events and meetings, just to name a few. You will perform administrative support duties and provide confidential administrative support directly to our IT managers and agency leaders within the division. Your work is vital to assisting in the creation of an inclusive environment where all people feel respected and appreciated. To achieve this, you will help craft executive level correspondence, make recommendations for actions inspired by the agency's purpose and values statements, assist in addressing and solving complex and/or sensitive matters, and perform project work assignments. Your executive and operational support to our ISD is essential to the division’s success and contributes to meeting our agency’s purpose. Your attention to detail and ability to pivot based on changing priorities will be key to your success.
Some of what you will do:

Manage scheduling of Supervisor.
-
Coordinate and manage time-sensitive projects/assignments.
-
Assign, collect and/or compile, research, analyze information to present results.
-
Manage office Outlook inboxes, and promptly, accurately, and respectfully, respond to inquiries.
-
Ensure correspondence complies with agency policies and standards by accurately, and respectfully responding to correspondence.
What you will bring to the role:
-
Four (4) years of progressive experience in office and /or clerical, secretarial, bookkeeping, accounting, or general administrative work.
-
Experience must include:
-
Two (2) years of experience providing administrative support to a supervisor, work unit, or midlevel manager which could include scheduling meetings, managing a calendar, managing assignments, or acting as a delegated authority.
-
Two (2) years of experience using Microsoft Suite office products to include Outlook, Excel, Word, Power Point, and OneNote.
-
One (1) year of experience composing, formatting, proofreading, and editing professional correspondence, emails, memos, letters, and documents, applying "plain talk" principles and clear communication guidelines.
What may set you apart:-
Experience with the following:

Using SharePoint to track work assignments and create, edit, and update pages.

Applying project management principles to projects and in work environment.

Assisting with managing a budget.
-
Using software to create and prepare pages/content for posting/updating web pages and general IT knowledge and comprehension.

Using VISIO, to create process flows or organizational position charts.
-
Using Microsoft Teams to conduct meetings, communications, and document collaboration.
Additional Conditions of Employment:-
This position is expected to work at a minimum one (1) day in-office or more as business needs arise.

A skills assessment using Microsoft Office products will be required of qualified candidates that are selected for final interview.
