Summary Objective:
The Special Projects Coordinator is responsible for the smooth execution of capex projects and management of the budgets, project tracking software, and request process. Procures materials, manages vendors, job schedules, and communicates project information to relevant parties. Responsible for special projects as assigned by the Director and Vice President of Facilities.
Essential Functions:
- Deliver the ultimate fitness experience to every member, every time
- Receive requests and prepare capital expenditure proposals for approval
- Plan and coordinate renovation projects with the Director of Facilities, Regional Managers, contractors, and club staff
- Source and procure materials, manage vendor relationships
- Manage bids, POs, project budgets, and yearly expenditure budget
Job Responsibilities:
- Manage capital expenditure request process for clubs to request renovations and improvements
- Manage and track project timelines and costs using SmartSheet software resources
- Work with the Director of Facilities to develop conceptual plans and proposals from club requests
- Solicit bids from vendors and manage bid process
- Communicate project schedules and timelines with club staff, corporate staff, and facility department staff
- Coordinate temporary signage, permanent signage, and other details required for a complete project delivery
- Coordinate with vendors on project details to ensure smooth execution of projects under budget and on time
- Work with vendors to procure materials and source better products and prices
- Compile and manage all POs for materials ordered and track costs on all projects
Required Knowledge, Skills & Abilities:
- Strong organizational and project management skills
- Strong computer skills with an emphasis on Smartsheet or similar software
- Detail oriented and able to manage multiple projects, budgets, and timelines
- Strong communication skills and the ability to communicate concise updates to multiple parties on short notice
Required Experience, Education & Certifications:
- Four-year degree in a related field preferred
- 2-5 years of experience in construction, project management, estimating, or related field
