After Hours Pediatrics, a local provider-owned medical group with a strong focus on customer service and teamwork, is looking for a qualified Office Manager to add to their team.
Brief Overview
The Office Manager is responsible for overseeing the day to day functions of the clinic. This includes ensuring the office is running smoothly and professionally, supporting staff and encouraging teamwork, and resolving issues as they arise, .
Job Description/Responsibilities
o Oversees Front Office Staff and Back Office Staff
- Staff workload - Monitor office needs and assign tasks to ensure timely completion of workload, answer staff questions, ensure adherence to policy and procedures
- Staff scheduling - Create staff schedules, manage vacation requests, monitor attendance, make adjustments as needed to respond to staff shortages
- Staff Training – Participate regularly in staff training both on individual and group levels.
- Staff evaluation and coaching - Arrange and participate in semi-annual, annual and situational staff evaluations, providing staff evaluation and feedback
- Inter-staff dynamics - Maintain staff morale, encourage positive interactions, promote a team environment
- Hiring - Participates in hiring of Front Office Staff and Back Office Staff
- Staff workload - monitor staff tasks to ensure completion and redistribute workload when needed
- Staff grievances and disciplinary action - addresses and resolves staff concerns, provide guidance and coaching, follow-up with disciplinary action when necessary
o Work closely with other clinic managers and senior management team
o Coordinate with other departments (IT, Facility, Medical Providers, Senior Management) to
address office needs
o Participate in training development in conjunction with the Training Director
o Patient grievances - Address and resolve grievances that arise for both staff and for
patients
o Policy development – Participate collaboratively with Senior Management and Office
Management in practice policy development and implementation
o Other duties as assigned by Senior Management
