Position Overview:
We are seeking a dynamic individual to join our occupancy management team as an Occupancy Manager Assistant in LaconiaNH, and to assist other offices throughout the company as needed. The primary responsibility of this role is to provide administrative support to the Occupancy Manager, ensuring efficient operations and exceptional service to our residents.
Key Responsibilities:
Answer Incoming Calls:
● Professionally handle incoming calls.
● Retrieve messages and return calls accordingly.
● Enter maintenance service requests and assist with scheduling as needed
Manage Mail and Faxes:
● Open, sort, and distribute daily mail and faxes promptly to ensure timely communication and action as needed.
Assist with Appointments:
● Support the Occupancy Manager in scheduling appointments such as recertifications, move-ins, and move-outs, ensuring smooth coordination and adherence to deadlines.
Document Handling:
● Manage incoming and outgoing verification forms, ensuring accuracy and completeness. Maintain organized filing systems for easy retrieval of documents.
● Prepare materials needed for processing prospective residents for an apartment, recertifications and lease signings.
File Management:
● Log and store resident files systematically, maintaining a comprehensive record of resident transactions and communications.
Waiting List Management:
● Update and maintain waiting lists, ensuring accuracy and timely communication with prospective residents regarding available units.
● Review rental applications, mail decision letters and update waiting lists accordingly.
Administrative Support:
● Handle administrative tasks such as mailing applications and other paperwork, and assisting with filing as required.
Qualifications and Skills:
● High school diploma or equivalent; additional qualifications in office administration or property management are a plus.
● Previous experience in a similar administrative role, preferably in property management or real estate.
● Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment required.
● Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
● Strong organizational and multitasking abilities, with keen attention to detail.
● Ability to work independently and collaboratively within a team environment.
● Familiarity with Fair Housing regulations and property management software is desirable.
