What You'll Do
Duties and responsibilities
Specific job duties include, but are not limited to, the preparation, review, tracking and distribution of the following project documents and tasks:
- Requests for Information (RFI’s)-
- Prepare, track, update and distribute project RFI’s using Procore
- Tag RFI’s to drawings in Procore
- File RFI’s accordance with uniform filing structure
- Weekly Subcontractor Meeting
- Obtain 4-Week look ahead schedule from Lead Superintendent and prepare meeting agenda and meeting minutes
- Provide updated Plan Log with Revisions and RFI log
- Obtain weekly safety topic from Lead Superintendent
- MSDS
- Obtain and save all MSDS documents in the project file folders in accordance with the uniform filing structure
- Ensure MSDS binder is easily accessible and up to date
- Daily Reports
- Ensure Subcontractors submit Daily Reports in Procore including the following information:
- Number of workers (manpower)
- Description of what work was performed
- Delays + party responsible (i.e., subcontractor, AHJ, weather, etc.)
- Submittals
- Review, process and track all project submittals in Procore
- Verify materials delivered to site match approved submittals and communicate any discrepancies to the appropriate parties as soon as possible
- Responsible for filing submittals in accordance with the uniform filing structure so they are easily accessible for project closeout
- Permits
- Maintain Permit Log(s) and ensure permits are saved in the project files in accordance with uniform filing structure
- Track pending and upcoming permits prior to expiration
- Plans & Revisions
- Upload, update and maintain project plans and revisions in Procore to ensure project drawing log is always up to date
- Works with the Assistant Project Manager to maintain all plan documents and ensure that they are up to date in both manual hard copies and electronically.
- Responsible to make sure each revision is permitted and stamped copies are maintained on hand.
- Coordinate with Development to identify pages that must be resubmitted to the city
- Track submission of revised pages with original stamped plan to the city
- Coordinate pick up of approved plans and send to A&E for scanning
- Save scanned plans, add approved plans to city stamped set and upload into Procore
- Safety
- Assist Superintendent with daily safety walks
- Identify any issues and report to subcontractor’s foreman and superintendent for immediate correction
- Document and save repeated offenses; email subcontractor main office (copy PM) if an issue continues or is not corrected
- Prepare Safety Binder/Safety meeting sign-in sheet
- Distribute Safety Topic of the Week packet (English & Spanish)
- Obtain signed copies of topic of the week packet for subcontractor’s employees also contact information for Designated safety monitor of every subcontractor
- Assist Superintendent with tracking, documenting, and saving jobsite incidents, including:
- OSHA incident report form (Blank)
- Morgan incident report form (Blank and make sure sub signs and hands over a copy
- Updates to weekly safety meeting binder
- Map to nearest emergency medical facility
- Coordinate with Superintendent to setup delivery routes to property to ensure safety during deliveries (emailed to subs, displayed and handouts)
- Inspections
- Assists the Superintendents with daily on-site safety inspections and material audits
- Create and maintain inspection log(s)
- Schedules
- Assist Superintendent with schedule updates
- Ability to manage and update project schedules
- Ensure Superintendent team has updated projected and actual schedule prior to the team meeting each week
- Distribute the Lead Superintendents 4-week look ahead at weekly sub meetings
- Meeting Minutes
- Coordinate, schedule and participate in team and project meetings and prepare meeting minutes (i.e., weekly team meetings, QAQC, subcontractor, pre-installation coordination, etc.).
- Project Closeout
- Request, track and prepare project closeout documents for electronic transfer, inclusive of:
- Subcontractor and Consultant contact lists
- Submittals
- As Built Drawings
- Warranty Letters
- Other
- Responsible for communication with all subcontractors for the duration of the project.
- Ability to complete all tasks while working with multiple interruptions.
- Provide timely and cordial interaction with supporting work groups, such as accounting, HR, Management, QAQC, internal and external design professionals, etc.
- Travel will be required at times for projects out of the city limits
Qualifications
- Must have excellent attention to detail and have the ability to adjust quickly as priorities change
- Preferred working experience in construction management
- Basic knowledge of construction management processes, means and methods
- Basic knowledge of building products, construction details and relevant rules, regulations and quality standards
- Understanding of facets of the construction process
- Familiarity with MS Word and Construction Management applications (ex: Word, Excel, Outlook, Procore, Primavera)
- Excellent organization and time management skills
- AS or BS degree in construction management, architecture, engineering or related field preferred or equivalent experience in construction management
Working conditions
While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts and vibration. The employee is occasionally exposed to a variety of extreme conditions at construction job sites. The noise level in the work environment and job sites can be loud. This position is mostly performed at project site office and at project site(s) in outside weather conditions. The physical environment is affected by the exterior element as well as the stage of construction.
Physical requirements
The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
