Under general supervision, complete various facilities administration duties. Duties include, but are not limited to, administrative support, conference room and food service coordination, work-order processing, and internal move assistance.
Essential Job Duties:
- Provide administrative support to the manager and supervisor levels of facilities operations including inventory tracking, expense processing and other duties as assigned.
- Perform morning inspection of facility plus additional inspections of the pantries/common areas.
- Escort vendors while in facility.
- Maintain FAMIS360 database, distribute work orders and preventive maintenance tickets to mechanics and vendors, update assets and completed work order and PM routines.
- Assists other staff members in the implementation and organization of internal and building to building moves. May be involved with communicating and coordinating with movers, vendors and other internal/external staff members as required.
- May work as the backup liaison to other in-house support groups.
- Initiates purchase orders as requested by management or other involved parties.
- Answers phone lines for incoming maintenance calls. Dispatch appropriate staff members and/or vendors accordingly.
- Daily contact with vendors and contractors to schedule miscellaneous repairs and maintenance.
- Maintain site vehicle program.
- Utilize shipping allocation database.
- Work with facility management to ensure completion of all special project work as assigned.
- May require additional work consisting of overtime and/or on call duties.
- Climb ladders.
- Change lamps and/or ceiling tiles.
- Assist with internal light furniture moves.
- Conference room set-up and reconfiguration.
- May perform other duties as assigned.
Skills, Education and Experience:
- High School diploma or General Education Degree (GED) required or equivalent experience
- Minimum 3 years related work experience.
- Computer knowledge in Microsoft products, online, and/or ability to grasp different databases.
- Ability to handle multiple projects simultaneously.
- Must be dedicated to the highest quality and customer satisfaction.
- Excellent written and oral skills
- Ability to lift up to 50lbs.
- Experience in basic hand tools and assembly of products.
Working Conditions: Normal working conditions with the occasional disagreeable elements (non-air-conditioned warehouse).
