Events Coordinator
The Events Coordinator will be the primary point of contact and facilitator of New Lines Institute’s events, including planning, coordinating, managing, and performing appropriate follow-up to ensure successful execution.
The Events Coordinator will also be the primary contact with external constituencies including New Lines alumni (former staff, interns, fellows, etc.) and will work to build and maintain relationships and provide connections and coordination with the institute’s portfolios. This position will report to the Senior Director for Development and External Relations and will work closely with all departments across the institute.
Main Duties and Responsibilities:
· Being the main point of contact for all events and coordinating with New Lines staff to plan and conduct events, including scope, schedule, technical requirements, invitees, and printed materials for distribution
· Collaborating with graphics and editorial teams to create invite flyers in Canva and sending out invitations using Mailchimp
· Coordinating and operating livestream technology for events with online components
· Communicating with vendors, requestors, and guests ahead of and during events to ensure their needs are being met and following up with guests and panelists after events
- Taking photographs or engaging external photographers to capture New Lines Institute staff and guest speakers on stage and in action
· Working with other teams to catalogue content generated from the event for use on the institute’s website, social media platforms
· Helping build institution-wide awareness of the value and importance of effective events
· Leading the planning, organization, and facilitation of internal staff social events, retreats, and other relevant activities
Education:
· Bachelor's degree in Event Management, Hospitality, Public Relations, Communications, Business Administration, Marketing, or a related field is required.
· Professional certifications in event planning or project management (e.g., CMP, CSEP, PMP) are a plus.
Experience:
· Minimum of 3 years of experience in event planning and coordination
· Proven experience managing a variety of events including conferences, workshops, seminars, and social events
· Experience working with external vendors, including caterers, AV technicians, and other event service providers
- Experience with livestreaming technology and virtual event platforms
Skills:
· Excellent organizational and multitasking skills, with the ability to manage multiple events simultaneously
· Strong interpersonal and communication skills, with the ability to interact effectively with internal teams, senior leadership, external partners, and event attendees
· Proficiency in using event management and communication tools, including Mailchimp, Eventbrite, Canva, and social media platforms
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with basic IT and AV setup
· Ability to work under pressure and meet tight deadlines while maintaining a high level of attention to detail
· Strong problem-solving skills and the ability to think creatively to overcome challenges
· Ability to work independently and as part of a team, with a proactive and collaborative approach
- Flexibility to work evenings and weekends as needed for event preparation and execution
· Ability to lift and move event-related equipment and supplies
· Valid driver’s license and ability to travel as needed for off-site events
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
