Position Summary
Title: Bookkeeping and Administrative Tech
Reports To: Co-Executive Directors
This position provides a combination of bookkeeping and administrative support to the Northwest Cooperative Development Center and its programs.
This position supports the Center by providing regular bookkeeping and administrative functions for the overall organization and, in some cases, for specific programs. Bookkeeping tasks include using QuickBooks Online to process all Center transactions including payments to vendors, invoices to clients, journal entries, payroll, and loan accruals. They will run payroll, process employee expense reports, and create new accounts for recent hires. The bookkeeping and administrative tech will coordinate with external accountants on the Center’s annual audit and tax filing. This position will ensure compliance with state departments, insurance providers, and grantors by making regular filings, submitting grant reports, and updating annual reports. Administratively, this position will support the center by preparing for team meetings, board of directors’ meetings, and through active management of the centers’ project tracking systems. Related to the bookkeeping work, this position is also responsible for tracking current grants and ensuring regular grant reports are compiled and submitted.
In addition to providing administrative and financial support to the overall Center, this position will provide admin support to specific programs as needed. This support includes editing templates to make them specific to projects, printing documents in preparation of community meetings, entering demographic and income survey data into vendor and grantor databases, and procuring software and equipment needed by staff in the field. In supporting center staff, this position will maintain up-to-date project tracking software, prepare for team meetings, and sending reminders to staff on upcoming deadlines.
An ideal candidate is not only experienced in using administrative and bookkeeping tools, but also in systems improvement. They will look for ways to improve team functions, reporting requirements, and internal systems. Experience with bookkeeping systems is required and advanced knowledge of Excel, Monday.com, Slack, or other administrative tools is a bonus. An eagerness to develop and deploy new and better systems of administration outweighs years of experience in any particular system.
Candidates must be located in Olympia, WA, and are expected to work from the NWCDC office in downtown Olympia. Working schedules can be flexible and can accommodate family/community commitments but an ideal candidate will have regular office hours to be available to center staff.
Key Responsibilities
● Enter transactions into QuickBooks Online using correct expense/revenue accounts, associating correct clients/grants, and categorizing within correct classes.
● Reconcile Accounts Monthly, prepare check deposits, and prepare financial reports for management and the board of directors.
● Prepare checks and electronic payments for all payables and prepare statements for all receivables.
● Run payroll and ensure all fringe benefits and tax liabilities are properly accrued and paid.
● Regularly process employee reimbursement requests and review employee-submitted transactions for accuracy.
● Submit required reports and payments to insurers, regulators, and governments.
● Prepare materials for and attend key committee and board meetings.
● Provide printing, scanning, and data entry support for cooperative projects.
● Assist staff in securing software and equipment to perform their work.
● Maintain reliable filing system for financial documentation, key meeting materials, administrative documents, and contracts.
● Provide administrative support to staff projects through management of task tracking software.

NWCDC is a 501c3 non-profit that provides education and technical assistance to workers, producers, and consumers to support their efforts to start, support and/or expand cooperatives. Compensation
This position is part-time with flexibility between 30 and 35 hours a week depending on the candidate’s goals. Compensation is $24 to $27 an hour. NWCDC provides medical and dental insurance to all staff working more than 20 hours a week and covers a portion of employees’ dependent's coverage.
