The Admissions Supervisor provides leadership and staff development to the Admissions and Patient Access departments. This position is responsible for leading and improving the overall operational efficiencies, effectiveness, productivity, quality, and staff competence.
Job Duties & Responsibilities:
Provide direct supervision to Intake Specialists, Admissions Nurses, and Receptionists

Maintain working knowledge of Intake Specialist, Admissions Nurse, and Receptionist duties.

The Inpatient Admissions Supervisor will be involved in the interviewing and hiring process.

Collaborate with the Inpatient Admissions Manager on any progressive disciplinary action for assigned staff.

Participate in the Admissions Leadership On-Call rotation to monitor department needs and support staff.

Monitor attendance of staff

Maintain accuracy of timecards for assigned staff:
Oversee and support the development of Intake Specialists, Admissions Nurse, and Receptionists

Complete/participate in ongoing 1:1 support, coaching and required performance reviews.

Participate in the development of and implementation of orientation and training processes for staff.

Create and maintain training materials and documentation standards.
-
Coordinate training schedule with applicable stakeholders.
-
Support Inpatient Admissions leadership on admissions flow.

Provide continuing education for admissions staff members on process and system enhancements.
Supervise Intake Specialists, Admissions Nurse, and Receptionist functions:

Collaborate and communicate with Operations and Nursing regarding capability and capacity to admit patients.

Overseeing completion and follow up of daily audits.

Review reports to address answer rate, screenings that need to be completed and timeliness of admission flow.

Provide support and guidance to staff members on cases that present with complexities.

Ensure staff are adhering to standard work.
Perform Intake Specialists and Receptionist functions and provide coverage, when necessary.
Collaborate with internal departments and external facilities/referents as it relates access to care.
Assist in resolution of complaints and grievances related to the admissions process:

Assist in investigation of incident reports.

Resolve complaint calls escalated to leadership and engage manager in as needed.

Provide recommendations for opportunities for improvement.
Complete other duties as assigned by Admissions leadership.
Understand and apply policies and procedures in accordance with external regulatory agencies:

Including, but not limited to: Joint Commission, Health Information Portability and Accountability Act (HIPAA), Emergency Medical Treatment & Labor Act (EMTALA), 42 Code of Federal Regulations (CFR) and other regulatory agency compliance regulations.

Attend and participate in development opportunities to increase involvement and awareness of regulations.
Promote department goals and Mission of Rogers Behavioral Health:

Additional Job Description:
Education/Training Requirements:
-
Bachelor’s degree in behavioral health or human services field required, Master’s degree preferred.

Minimum of two (2) years’ experience in healthcare admissions or patient access.
-
Supervisory or lead experience within proven results.

Completion of required trainings under Rogers’ policies
-
Electronic medical record software experience
-
Knowledge of insurance providers
-
Computer skills (including but not limited to: utilizing multiple platforms, Microsoft applications, basic troubleshooting) required.

Knowledge of medical terminology preferred.
-
Knowledge of level of care medical necessity criteria.
