Job Overview:
As an Event Assistant, you will support the Event Manager in planning, coordinating, and executing various events. This role is an excellent opportunity for someone looking to start a career in event management, providing hands-on experience in all aspects of event planning and execution.
Key Responsibilities:
Event Planning Support:
Assist in the development of event concepts and themes.
Conduct research on venues, vendors, and other event-related resources.
Help prepare event proposals, budgets, and timelines.
Participate in brainstorming sessions to generate creative ideas.
Coordination and Logistics:
Coordinate event logistics including registration, attendee tracking, presentation and materials support, and pre- and post-event evaluations.
Assist with on-site setup and breakdown of events, ensuring all details are handled efficiently.
Communicate with vendors and service providers to confirm arrangements and delivery of services.
Administrative Tasks:
Maintain event databases and manage event-related documentation.
Prepare and distribute event materials such as invitations, agendas, and handouts.
Handle general office duties, including answering phones, managing email correspondence, and organizing files.
On-site Event Assistance:
Provide on-site support during events, ensuring everything runs smoothly.
Assist with attendee registration and check-in processes.
Address any issues or emergencies that arise promptly and effectively.
Post-Event Activities:
Collect and analyze feedback from event participants.
Assist in the preparation of post-event reports and summaries.
Help with the inventory and storage of event materials.
Qualifications:
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Ability to work under pressure and handle multiple tasks simultaneously.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Flexibility to work evenings, weekends, and holidays as needed.
