Thomas Coon Newton & Frost (TCNF) is a 6-attorney firm practicing in the areas of workers’ compensation, social security and long term disability, and personal injury. Founded in 1980, we have a long history of providing outstanding representation to our diverse injured and/or disabled clients.
Our long-time office manager is retiring, and we are seeking a manager for our downtown Portland office. The person who succeeds at this position will have effective communication and interpersonal skills (written and oral), a collaborative approach to working with our staff and attorneys, and the ability to prioritize and multi-task. The successful applicant will have experience managing a team of 12-18 people, up-to-date knowledge of office technology, and solid familiarity with accounting and budgeting.
Skills and Experience Required
The office manager works under the direction of the partners, with guidance from the managing partner. The following experience and knowledge are required:
-a minimum of three years of business operations experience, law firm experience preferred
-understanding of and experience with common financial reports (budget variance, P&L, cashflow forecast)
-human resources experience (hiring, firing, conflict resolution)
-bookkeeping experience and skill
-knowledge of and familiarity with accounting systems (QBO), practice management software (CLIO/TimeMatters), MS Suite, Adobe Pro, and desktop faxing. Network and Microsoft Defender knowledge is helpful
-flexibility, sense of humor, adaptability
-a positive attitude
-strong written and oral communication skills
-the ability to work both independently and as part of a team
Position Responsibilities
The office manager performs a wide variety of tasks as needed by the firm to provide excellent legal services to its clients and may vary. Responsibilities include:
-directly supervise in-office administrative assistant and receptionist
-manage office support staff in collaboration with their direct attorney supervisors
-perform bookkeeping and oversee bookkeeping performed by in-office assistant
-oversee monthly billing
-prepare monthly financial statements
-work in conjunction with outside consultant to ensure top tech tools and performance, including offsite system access and tech security
-hire, fire, onboard staff and employee policies and procedures under direction of partners
-coordinate monthly payroll with vendor
-maintain/replace/upgrade office equipment and supplies
-manage relationships with vendors and service providers
-work with the firm’s accountant on accounting issues and taxes
-handle confidential meeting materials
-renew attorney memberships and licensures
-plan firm events
-manage relationships with firm tenants
-manage special projects, e.g., equipment and technology updates
-address urgent unexpected events to ensure smooth day-to-day office operations
Work Location/Salary Benefits
This is a full time in-office position. Salary is dependent upon experience and includes a comprehensive benefits package with 100% employer paid medical, dental, vision, life, long-term disability, TriMet pass, paid time off, 9.5 paid holidays and a SEP-IRA plan. Optional FSA and AFLAC plans. Discretionary year-end bonus.
