We are seeking a proactive and detail-oriented Administrative Assistant to join our team and provide comprehensive support in marketing activities, printing tasks, and general office administration. The ideal candidate will possess excellent organizational skills, a strong attention to detail, and the ability to multitask effectively. Responsibilities:

Assist with marketing campaigns, including digital marketing initiatives, and content creation.

Coordinate the production of marketing materials such as brochures, flyers, posters, and promotional items.

Support the organization and logistics of marketing events, trade shows, and presentations.

Provide general administrative support to the office, including greeting visitors, answering and fielding phone calls and emails, and providing exceptional customer service.

Manage inventory of office supplies, placing orders as needed to ensure adequate stock levels.

Input wholesale orders and manage invoicing using Intuit QuickBooks software (experience preferred).

Organize holiday/special pricing and enter price rules for customers as needed.

Coordinate inter-company specials monthly for different locations.

Communicate price changes and production schedule changes with customers through memos, phone calls, or emails.

Compile data to create sales reports for various departments.

Organize product code database, creating barcodes as needed for new products.

Receive and channel donation requests to the proper individuals, coordinating pickups of donations with different locations as needed.
Requirements:

Previous experience in administrative support roles, preferably in a marketing or printing environment.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with graphic design software (e.g., Adobe Creative Suite).

Strong communication skills, both written and verbal, with the ability to interact professionally with colleagues and external partners.

Excellent organizational skills and attention to detail, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

Knowledge of marketing principles and experience with digital marketing tools and platforms is a plus.

Experience with Intuit QuickBooks software is preferred.

High school diploma or equivalent; additional qualifications in office administration or marketing are desirable
