Job Title: Office Administrator

Job Summary:
We are seeking a dedicated and detail-oriented Office Administrator to join our team. The successful candidate will be responsible for a variety of administrative tasks, including assisting with bills and resolving discrepancies, printing bi-weekly payroll reports, managing accounts receivable, creating meeting notes, invoicing customers, supporting online sales, responding to customer issues, assisting with creating job folders, scheduling truck builds, preparing reports and KPIs, and updating and documenting processes.
Key Responsibilities:
- Assist with the management and payment of bills.
- Resolve any billing discrepancies promptly and accurately.
- Manage and track accounts receivable.
- Follow up on outstanding invoices to ensure timely payment.
- Create and distribute meeting notes as required.
- Ensure notes are accurate and distributed in a timely manner.
- Prepare and send invoices to customers.
- Track and manage invoice status and follow up as needed.
- Assist with processing online sales orders.
- Respond to customer inquiries related to online sales.
- Address and resolve customer issues and concerns.
- Provide excellent customer service to ensure customer satisfaction.
- Assist in creating and maintaining job folders.
- Ensure all job folders are organized and up to date.
- Schedule and coordinate truck builds.
- Ensure builds are scheduled efficiently and in accordance with project timelines.
- Prepare various reports and key performance indicators (KPIs).
- Analyze data and present findings to management.
- Update and document business processes.
- Ensure all processes are accurately recorded and accessible.
Qualifications:
- High school diploma or equivalent
- Proven experience in an administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to handle multiple tasks and meet deadlines.
- Attention to detail and problem-solving skills.
- Experience with accounts receivable and invoicing is a plus.
- Customer service experience is highly desirable.
Working Conditions:
- Regular, full-time position.
- May require occasional overtime.
Job Type: Full-time
Pay: $17.00 - $19.00 per hour
Expected hours: 40 per week
