Endodontics, P.A. is seeking a full-time front desk receptionist to join our team.
Duties include; answering phones, scheduling appointments, verifying patient benefits with insurance companies, collecting co-pays, and other front desk-related duties.
The applicant must have strong multi-tasking skills and be able to work in a fast-paced environment. We are looking for someone who is dependable, motivated, and a team player.
Strong communication skills along with typing are a must!

FRONT DESK
Responsible for administering the day-to-day activities of the dental front desk and office, including but not limited to: maintenance of the records of patients, scheduling of patients, accounts receivable, maintaining appearance and order of dental office, and recall system.
SPECIFIC DUTIES
Reception Management
- Manage day-to-day operations of dental front office
- Open and close dental office according to office protocol
- Review the office for a neat, professional appearance and make necessary changes
- Prepare and check the daily schedule for accuracy and post it in all treatment rooms
- Answer and respond to telephone calls with professionalism
- See that the phone is answered in a timely fashion at all times
- Turn on/off the answering service. Collect and respond to messages left with the answering service. Make sure appropriate information is left with the answering service example: the reason for closing (e.g., staff meeting, holiday), name and contact information of doctor on call
- Manage the office email daily. Be sure to check the email several times a day in order to retrieve patient information from the referring dentist
- Review supplies for reception and front desk and provides order to office manager according to office protocol
Patient Management
- Maintain a professional and tidy reception and front desk area; organize patient education materials and magazines
- Schedule and manage patient appointments including emergencies, cancellations, new appointments
- Greet and welcome patients and visitors to the practice
- Check-in patients according to office protocol, verify and update patient information including personal/medical history, financial policy, dental insurance, and fee sheet
- Oversee patient relations & handle patient issues, according to office protocol
- Assist patients to complete necessary paperwork ensuring all documentation is completed and signed/initialed as necessary
- Input or update all relevant patient information into PBS and scan the appropriate documentation
- Ensure that patients understand the financial policy and how the office works with the patient’s insurance company
- Collect and record payments from patients at the time of treatment
- Contact referring dentists to follow-up for a patient cancellation
- Confirm the next day’s appointments according to protocol and patient preferences
Records Management
- Gather and accurately record insurance information from patients
- Record correspondence with patients from phone or in-person conversations in PBS as appropriate
- See that records are stored securely and handled in compliance with HIPAA privacy and security regulations
- Assure that every patient’s HIPAA forms and consent forms are signed and up to date
- Accurately file patient information
- Arrange patient charts and radiographs for the next day’s appointments
- Track cases and referrals to and from other doctors
Insurance
- Verify patient dental insurance 2-3 days before the appointment. Contact patient if there are any issues or concerns before the appointment
- Inform the patient of his/her copay before treatment. When confirming the next day’s appointment, offer a copayment amount
- Prepare and submit claim forms for dental insurance daily
- Organize supporting materials for claim forms, such as radiographs or written narratives
Office Participation
- Fill in at other offices, as needed
- Adhere to the general practice guidelines outlined in the practice handbook (e.g., vacation requests, time-off for late start/early leave and doctor’s appointments, attire, protocols)
- Cooperate with all other staff and doctors
- Take responsibility for your work area and report any issues or concerns immediately to the Office Manager
Correspondence
- Sort, organize and distribute mail
- Call referring dentist to thank them for referrals and send out referral cards as directed by Office Manager
- Prepare post-ops and memos to send to the referring dentist and provide them to the appropriate doctor to complete
- Place calls to patients regarding billing as directed by Office Manager

Pay: $17.00 - $21.00 per hour
