Job Summary:
We are seeking a proactive and organized Office Manager & Executive Personal Assistant to provide comprehensive administrative support to three executives at our company. This role is pivotal in ensuring the smooth operation of daily activities within the office while also assisting executives with their administrative needs. The ideal candidate will thrive in a fast-paced environment, possess exceptional organizational skills, and demonstrate the ability to multitask effectively.
Key Responsibilities:
- Coordinate and manage executives' schedules, including arranging meetings, appointments, and travel itineraries.
- Act as the primary point of contact for internal and external stakeholders.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Assist with the coordination of interviews, including scheduling candidates and arranging interview logistics.
- Handle office management duties, such as maintaining office supplies, coordinating equipment maintenance, and liaising with building management.
- Assist with special projects and events as needed, providing logistical support and coordination.
Qualifications:
- Bachelor's degree preferred.
- Proven experience in an office management or executive assistant role, preferably supporting multiple executives.
- Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, with a professional and friendly demeanor.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Flexibility to adapt to changing priorities and work independently with minimal supervision.
- Previous experience in a hybrid work environment is a plus.
