Position Highlights:
Your Wealth, a Retirement Planning Firm, is currently seeking a Director of First Impressions. The purpose of this role is to Create an Unforgettable First Impression by being the first person to interact with clients and vendors both face-to-face and over the telephone. Ideal candidate will have a heart to serve, be naturally positive and have strong customer services skills. 1-3 years’ experience with serving customers is desired.
Setting the Tone of the Office: Creating an Unforgettable First Impression
· Always presents a professional and pleasant face and manner to our vendors, our clients and our staff.
· Always projects a cheerful and positive demeanor on the phone and in person.
· Greets all visitors to the office with a warm welcome, eye contact, a smile and a handshake.
· Treats everyone with respect and kindness
Duties and Responsibilities include, but not limited to:
· Open and close the agency on a daily basis & prepares the office for business
· Answers the phone within two rings and expedites calls quickly
· Assist with greeting incoming clients and offering beverages
· Manages incoming and outgoing mail
· Maintain Advisors outlook calendar and keep advisor aware of daily appointments and cancellations.
· Manages vendor relationships, audits & places orders pertaining to our office: Coffee, Office Supplies, etc.
· Filing of client statement and files
· Provide training/support throughout the day for other team members as questions/situations arise
· Confirm all agent appointments
Qualifications
· Position requires one to three years’ experience in an administrative role and managing administrative functions; strong communication, writing, and sense of professionalism
· Financial background a plus; specifically, in annuities and life insurance
· Confident with relevant software applications such as Microsoft Office Suite (including Word, Excel, PowerPoint and Outlook)
· Communicate effectively, both verbally and in writing to agents, clients, and third parties via e-mail and/or phone
· Prioritize list of outstanding issues to effectively handle urgent matters
· Provide exemplary customer service
· Ensure adequate follow-up and closure on daily tasks and projects
· Handle confidential information in a discrete and professional manner
