Job Summary:
We are seeking a motivated and detail-oriented Office Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This role involves handling various tasks related to organization and communication, contributing to the smooth workflow within the company.
#### Key Responsibilities:
- **Administrative Support:**
- Answer and direct phone calls, take messages, and manage correspondence.
- Greet and assist visitors, ensuring a positive and professional experience.
- Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors.
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system.
- **Office Management:**
- Order office supplies and research new deals and suppliers.
- Maintain office policies and procedures.
- Organize and schedule appointments, meetings, and events.
- Manage office inventory and ensure the office is clean and organized.
- **Data Entry and Record Keeping:**
- Update and maintain office policies as necessary.
- Maintain contact lists and employee records.
- Perform data entry and maintain accurate records in databases.
- Assist in the preparation of regularly scheduled reports.
- **Communication and Coordination:**
- Coordinate with other departments to ensure compliance with established policies.
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers.
- Provide general support to visitors.
#### Required Qualifications:
- High school diploma or equivalent; additional qualifications as an Office Assistant or Secretary will be a plus.
- Proven experience as an Office Assistant, Virtual Assistant, or in another relevant administrative role.
- Knowledge of office management systems and procedures.
- Working knowledge of office equipment, like printers and fax machines.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to multi-task.
#### Preferred Qualifications:
- Associate’s degree in related field.
- Experience with office software, including CRM and ERP systems.
- Familiarity with online calendars and cloud systems.
#### Work Environment:

- May require some lifting of office supplies and materials.
- Ability to work under pressure and meet deadlines.
