We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety at the dance studio. The Office Manager maintains relationships between the school’s staff and students/families in light of Amped To Dance mission and values, ensures ongoing, clear communication of schedules, policies, and other important information, resolves conflicts, and promotes student retention and new enrollment through a variety of marketing and public relations tasks. A successful Office manager should have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation.
Responsibilities
- Keep studio and year-round schedules organized and updated to the most recent details
- Plan processes based around giving the students and families the best possible customer service and experience this includes registration, events, or other activities
- Help inquiring families and students feel welcomed, and cared for and have the necessary information to partake in trial classes and register ·
- Work with the Director to complete large projects such as performance detail handouts, parent contracts, recital, and dance season registration, summer camp, summer dance series, marketing/community events, etc.
- Ensure staff and students are updated on any scheduling changes
- Manage the dance studio management software database (JackRabbit); work with the Director to problem solve any billing, enrollment, or other issues
- Be an active team member of the Front Desk Staff
- Ensure that announcements on bulletin boards and via email are up to date and match Amped To Dance’s branding and tone
- Ensure that the merchandise in the lobby is kept up and draws attention to the products available for sale, also orders merchandise and does shoe fittings, etc.
- Plan open houses and special events to attract students with the Director
- Work closely with the Director to market and create retention plans and outreach plans to attract new students and maintain current students at the studio ·
- Maintain student/customer databases
- Work with the Director to reach enrollment goals
- Tidy up the studio before leaving for the evening, this includes vacuuming the lobby, tidying the bathroom, changing trash and wiping surface area
- Organize office operations and procedures
- Ensure that all items are invoiced and paid on time
- Manage office General and Administrative budget, ensure accurate and timely reporting
- Plan in-house or off-site activities, like parties, celebrations and conferences
Skills
- Proven experience as an Office manager, Front office manager or Administrative assistant
- Dance experience/knowledge is preferred
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Internet Savy able to use Canva and social media to advertise
- Familiarity with email scheduling tools, Google, Mailchimp
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Pay: From $17.50 per hour
Expected hours: 35 – 40 per week
