About the Role
We are currently seeking a highly organized and proactive Engagement and Events Coordinator to manage logistics and planning for high-visibility corporate incentive programs. This role has a major focus on proposal and materials developement, and partner engagements, as well as managing travel and event logistics for our global team. This role is administrative in nature and focuses mostly on the internal coordination for external event programs rather than their execution. The position requires extensive expertise in event coordination, product and inventory management, inventory oversight, client relations, luxury hospitality venue communication, production coordination, hotel room blocks, domestic and international travel arrangements, vendor management and onboarding, and contract negotiation.
- Assume full responsibility and ownership in leading the planning and execution of all assigned events, and incentive programs.
- Coordinate event management across all Departments, including Registration, Platform, IS, Air, and room blocks.
- Manage event budgeting, invoicing, shipping, schedules of payments and cost savings reports.
- Oversee overall program inventory and shipping, ensuring communication across all internal and external teams.
- Oversee and manage event project plan/timeline, logistics.
- Lead and participate in client and internal meetings, including regular status meetings, pre-program walkthroughs, onsite meetings, and post-program debriefs.
- Drive client and internal team deliverables to meet timeline milestones.
- Manage all aspects of venue coordination, including meeting space allocation, meeting room set-up, diagrams, electrical, internet.
- Coordinate content, graphic development, and production of all program collateral (i.e. agenda, conference guide, program of events, etc.) and signage.
- Develop budgets, coordinate itineraries, and lead site inspections.
- Ability and willingness to work extended workdays and possible weekends when needed
- Accessible during acceptable working hours identified per project/program
- Travel may be required to oversee projects through the execution
- Frequent use of a computer and other office equipment
- Ability to lift 20 lbs.
- Frequent sitting, standing, and walking
- Ability to adhere to hybrid office policy

- Four-year college degree or related work experience.
- Minimum 3-5 years of experience in event management, meeting planning or hospitality.
- 2-4 years of experience with direct client management.
