ESTIMATED PAY RANGE:
This is a supervisory level position. The compensation structure is salaried.
$54k - $85k annual, depending on experience, plus supplemental pay for event days.
PURPOSE:
Overseeing the end-to-end planning and execution of live event projects, ensuring they are delivered safely, on time, within budget, and exceeding client expectations.
RESPONSIBILITIES:
Develop comprehensive project plans, including timelines, budgets, and resource allocation, based on client requirements and objectives.
Develop and maintain various technical design drawings and calculations for use in the installation of the technical and scenic elements. Drawings and calculations include but are not limited to:
- Power calculations and power distribution plans
- Audio calculations and audio rigging specifications
- General rigging calculations and rigging plots
- Lighting plots including fixture addresses, modes, and power distribution.
- Video calculations including rigging specifications, signal flow, and power distribution.
- Floorplans and layouts
Specify the appropriate audio, video, lighting, rigging, and support equipment needed for installation based on the design requirements.
Specify, select, and schedule all team members and technical staff required for installation, execution, and strike of the event.
Along with the Account Manager, act as the primary point of contact for clients, understanding their event goals, providing expert advice, and managing their expectations throughout the project.
Identify, evaluate, and select vendors, suppliers, and subcontractors, negotiating contracts, and ensuring all parties deliver according to agreed-upon specifications and timelines.
Lead cross-functional teams, including general production crews (stagehands), technical staff, and external contractors, effectively delegating tasks, providing guidance, and fostering a collaborative work environment.
Oversee all logistical aspects of event production, such as equipment rental, transportation, travel arrangements, and on-site coordination, ensuring seamless execution and adherence to safety standards.
Develop and manage project budgets, tracking expenses, and making informed decisions to optimize resources and ensure profitability.
Identify potential risks and develop contingency plans to minimize their impact on project timelines, budgets, and overall success.
Implement quality control processes to ensure the highest level of production standards, from technical setup to audiovisual elements and overall event execution.
Conduct post-event assessments, gathering feedback from clients, vendors, and internal stakeholders to identify areas of improvement and implement best practices for future projects.
QUALIFICATIONS
Minimum of 2 years of project management experience in the live event production industry, with a successful track record of delivering medium to large-scale, complex events
Experience with VectorWorks, AutoCAD, Microsoft Visio.
Experience with power distribution for live events
Experience with rigging for live events
Experience with audio system, lighting system, and/or video system installation and operation for live events.
Experience with heavy equipment operation.
Strong industry knowledge with an in-depth understanding of event production processes, equipment, technologies, and best practices.
Ability to manage multiple projects simultaneously, prioritize tasks, and meet deadlines.
Strong interpersonal and communication skills, with the ability to effectively collaborate with clients, vendors, and internal teams at all levels.
Proven experience in leading and motivating cross-functional teams, fostering a positive and results-oriented work environment.
Demonstrated ability to anticipate and resolve issues quickly and reliably under intense pressure.
Proficient in developing and managing project budgets and ensuring financial success while delivering high-quality productions.
Willingness to work irregular hours, including evenings/nights, and weekends.
Willingness to travel as required.
