Chain Sales Support Specialist
Description of Duties & Responsibilities
Position Reports to: Team Lead and Sales Support Supervisor
General Description: This sales support specialist supports our Account Executives with the management of projects to ensure deadlines, budgets, and requirements of the job are met. These job functions include but are not limited to – uploading a job, creating electronic job files, coordination, purchasing, and monitoring shipment of equipment & materials. The sales support specialist will track the job until completion and will complete continuous audits to ensure accuracy.

Typical Duties and Responsibilities:
- Verify that we have the proper approval and review the sales order and contract for new orders.
- Verifies in Vista the customers billing terms, AR & site info, tax information and seeks Credit Manager approval if over $10,000.
- Initiate project & communicate the job number to team members involved on project. Review and communicate necessary changes to match the contract & requirements. Import project into Vista and check for upload accuracy.
- Review quotes, shipping/receiving requirements, and project notes when preparing rough purchase orders, communicate discrepancies to Account Executive. Adjust purchase orders as needed and send to vendors.
- Be responsible to obtain, as needed, appropriate permits and licensing for projects including all mechanical/electrical requests.
- Handle any discrepancies with reps/vendors. This would include pricing, quantity, shipping address or model number. Track customers orders with vendors once equipment has been ordered for timely and accurate delivery according to construction schedules.
- Communicate with warehouses to verify equipment has arrived. Provide needed documents for freight claims. Prepare delivery instruction sheets. Update receiving reports and supply to Account Executives as equipment arrives and departs to the site. Use existing inventory when appropriate and fill out stock requisitions.
- Serve as the contact for issuing replacement purchase orders for equipment and for reordering damaged, missing, or incorrect equipment as well as initiate a change order as needed for pending and approved. Prepare negative purchase orders for any returned equipment, freight claims, credits, etc.
- Monitor job costs throughout job process and correct any errors or imbalances in budget and report status or any problems as requested.
- Process project paperwork, acknowledgements, equipment invoices, freight invoices, delivery instructions sheets, receivers, service orders and other misc. paperwork daily checking for accuracy and following up on errors or discrepancies.
- Process and track all change orders on a timely basis.
- Coordinate with billers on invoice timing in accordance with deliveries.
- Audit jobs and run a job cost analysis to reveal where costs went over, or mistakes may have been made.
- Request ASA from factory for ASA sheet and manuals.
Skills & Experience:
- Dependable individual organizational skills, with the ability to set priorities and manage time
- Microsoft Office with focus on Word, Excel, Outlook
- Aptness for attention to detail
- Proficiency with mixed media – printed, electronic, file transfer, and more
- Ability to accept direction from multiple sources
- Capacity to learn quickly when faced with new opportunities or challenges
Job Type: Full-time
Pay: From $18.00 per hour
Expected hours: No less than 40 per week
