Job Summary
This position works with Departmental Team members to support established programs, projects, and training events for Federally Qualified Health Center (FQHC) Staff. S/he will provide support through scheduling and coordinating meetings. Under direction of team leads, will facilitate established peer network, affinity and focus groups and attend committee meetings and prepare minutes. A key focus will include advancing medical-dental integration in health centers and promoting oral health literacy to health center staff. The successful candidate will demonstrate excellent written and interpersonal communication skills, planning, coordinating, and organizational proficiency, with the ability to work both with TACHC staff and with the Primary Care Association’s partners and membership, throughout Texas. The position requires excellent listening skills, team-work and collaboration. The ideal candidate will possess knowledge of oral health and public health, as well as skills in communicating effectively in a variety of settings (i.e. conference calls, webcasts, and/or in-person learning sessions), as s/he will act to represent the TACHC Innovation Department, to health centers and consultants.
Duties and Responsibilities
· Experience in coordinating patient care and providing education in a health care setting
· Meeting Preparation: preparing agendas, printing materials, setting up evaluations, and structured development of activities related to meetings
· Meeting administration: scheduling, agenda/materials distribution, minutes
· Training preparation: copies and materials preparation
· Evaluation survey administration: configuration, export, basic analysis
· Listserv and TACHC Learning Hub administration (confirming user data, contact information, email address, title, etc. across Association Management Software, listserv platform, Docebo)
· Calendar Management: Scheduling meetings, appointments, and managing group calendars
· Basic Correspondence duties: drafting routine email correspondence, i.e., thank-you notes for speakers and guests
· Data Entry/Reconciliation: data entry and updating spreadsheets and project management software i.e., Monday boards, inputting information, and/or maintaining records
· Travel Arrangements: booking travel arrangements, including flights, hotels, and transportation for TACHC Clinical team
· Research tasks: information for reports, supporting publications for grant seeking/writing, and market research
· Phone Calls and Messages: Handle incoming departmental phone calls, take messages, and screen calls, based on priority
· Communicate effectively with health center staff and TACHC staff
· Work with TACHC staff to support providing training and technical assistance to health center staff via on-site trainings, virtual meetings, coaching-calls, and webinars on TIC.

· Professional level of computer skills, including but not limited to use of Word, Excel spreadsheet management and/or project management software

Credentials and Experience
Required
· Experience with collaborative processes
· Experience coordinating schedules
· Ability to use, and navigate electronic/virtual platform or repository (i.e., SharePoint, OneDrive, etc.)
· Experience in preparing presentations for trainings virtually and in-person
· Familiarity and experience with notes and minutes taking, Robert’s Rules of Order (for meeting proceedings), the learning collaborative model, as well as train-the-trainer model
Preferred:
· Dental or Medical Assistant, Health Educator, or Community Health Worker/Promotor
· Non-profit experience
· Health center (FQHCs) experience
· Basic background knowledge of use of project management system, Project ECHO®, and use of Zoom platform
· Comfortable facilitating group discussions and affinity groups
· Spanish-language skills

· Position requires the ability to gather, condense, and communicate large amounts of information to TACHC and health center staff, which varies in levels of knowledge among participants
· Ability to integrate and summarize information readily and direct questions appropriately from members to TACHC staff; and address other tasks as assigned by the Quality Axis Program Manager
