Position Summary:
RMS Installs is seeking a dynamic and highly organized Office Operations Coordinator to support our fast-paced AV and events environment. This vital role ensures the smooth running of our company's administrative operations and the management of our events facility. With a keen eye for detail and exceptional problem-solving skills, the candidate will handle a wide range of administrative and executive support tasks with efficiency and reliability.
Key Responsibilities:
- Oversee general office administration, including serving as the primary point of contact, fielding telephone calls, greeting clients, and managing office correspondence.
- Coordinate and arrange office maintenance, workspace organization, and procurement of office supplies and equipment.
- Manage the use and operations of our events building, including scheduling, event coordination, and liaising with clients and vendors.
- Maintain meticulous files and records with effective data management systems for easy retrieval and reference.
- Process contractor payroll, ensuring timely and accurate compensation aligned with contracted terms.
- Manage basic accounting tasks, including invoicing, expense tracking, and budget coordination.
- Plan, execute, and oversee office and company events, both internally and externally.
- Serve as an ambassador for RMS Installs at external meetings and industry events, actively promoting our services.
- Duties may require weekend availability on a periodic basis to manage events and operational tasks as necessary.
Qualifications and Experience:
- A track record of successful office administration, operations management, or related experience, preferably in the AV, events, or entertainment industry.
- Familiarity with managing facilities, events, or similar environments.
- Competence in handling contractor payroll and basic accounting procedures.
- Strong command of MS Office Suite and familiarity with accounting software.
- Excellent organizational, time management, and multitasking abilities.
- Exceptional interpersonal skills with the adeptness to communicate clearly and effectively with a diverse range of individuals.
- High school diploma required; a Bachelor’s degree in business administration, accounting, or related field preferred.
