Job Summary

The Office Administrator will primarily be responsible for greeting guests and visitors at our corporate office, while handling various administrative responsibilities within the office. This is an on-site role. The position will work cross-functionally with many departments and levels throughout the organization.

Responsibilities
-
Manage front door by greeting guests, coordinating appointments, and administering building access to vendors, customers, and employees at the corporate office.

Responsible for the appearance and organization of the front lobby, break room, and conference rooms; including the corporate lobby TV display messaging.

Order, stock, organize and manage inventory of corporate office and breakroom supplies.

Sort, organize, and assist with the distribution of incoming and outgoing mail.

Assist with scheduling and managing the corporate conference room meeting schedules.

Aid departments with corporate mailings including, but not limited to, employee welcome gifts, newsletters, anniversary gifts, birthday/holiday cards, and other miscellaneous items.

Administer, process, and approve company expense reports via Concur.

Primary point of contact for communication and invoice reconciliation of corporate vendors including, but not limited to, vending machines, cleaning crews, snacks/coffee, filtered water systems, and shredding services.

Participate in scheduling and coordinating corporate employee appreciation meals and events.

Coordinate corporate charity events, donations, and drives.

Schedule and coordinate corporate orientation, including booking corporate travel arrangements.

Assist with aspects of the onboarding process with corporate employees such as ordering business cards, office name tags, issuing security badges, and ensuring workspace readiness.

Run and audit routine safety & compliance reports.
