Job Description:
The Customer Service Representative (CSR) will be responsible for providing transparent customer service, ensuring clients feel welcomed and supported during veterinary emergencies. This position requires strong communication skills, empathy, and the ability to work in a dynamic and fast-paced environment.
Main Responsibilities:
Customer Service:
● Greet and welcome clients and their pets warmly, empathetically, and professionally.
● Answer client questions and provide information about hospital services.
● Maintain open, transparent communication and explain the client's journey.
● Keep constant communication with clients, providing updates on the status of their pets during treatment.
● Ensure clients have access to snacks, coffee, and sodas.
Phone Call Management and Scheduling:
● Answer phone calls efficiently, providing accurate information and guidance on veterinary emergencies.
● Schedule appointments for ultrasound, ensuring all relevant information is accurately recorded in the system.
● Call clients to follow up on the recovery of their pets (next day/10 days).
Document and Payment Processing:
● Assist clients in completing forms and understanding documents related to their visit.
● Process payments and provide information on available financing options or payment plans.
● Process credit card payments, CareCredit payments, Scratch pay and Trupanion.
Administrative Support:
● Maintain accurate and organized records, updating information in the system as needed.
● Assist with general tasks, such as filing, organizing documents, and maintaining a clean and welcoming reception area.
● Perform general cleaning of the reception area, including restrooms.
Team Collaboration:
● Work closely with the veterinary team to coordinate animal care and ensure a positive experience for clients.
● Participate in team meetings and training sessions, contributing to the continuous improvement of services.
Qualifications:
● Previous experience in customer service, preferably in a veterinary or healthcare environment.
● Excellent verbal and written communication skills.
● Ability to work efficiently and calmly in high-pressure situations.
● Compassionate and empathetic attitude towards animals and their owners.
● Strong organizational skills and attention to detail.
● Familiarity with customer information management systems (CRM).
