Data Entry/Admin Assistant Needed!
Part Time / Temporary Position through the end of 2024

Our South Bay studio is looking for a data entry / administrative assistant with extreme attention to detail. This position’s main role is to update and maintain data in Quick Books and a project management system. You will work closely with Finance to ensure all systems are up to date and accurate. This role also requires interfacing with all employees and inside/outside contractors at different levels with professionalism. You should genuinely enjoy interacting with team members as well as data. This role requires you to be proactive in your responsibilities while remaining calm and flexible when needed. Must be available to work Monday through Friday in-house at our Torrance studio.
Responsibilities:
- Enter bills and payments in Quick Books.
- Verify and reconcile vendor and contractor invoices.
- Create journal entries in Quick Books to allocate costs to projects.
- Assist finance with maintaining databases as needed.
- Assist finance with data entry of expense allocations into our project management software.
- Research and obtain further information for incomplete documents.
- Any other data entry and administrative tasks as needed.
Desired Skills:
- Working knowledge of Quick Books online software. (Must Have)
- Minimum 1-year Quick Books experience.
- Working knowledge of all Microsoft Office systems – with particular emphasis on Excel.
- Working knowledge of Google Suite – with particular emphasis on Sheets.
- Ability to prioritize workload and perform multiple tasks while working under pressure to meet constant deadlines.
- Possess excellent communication, organizational, and interpersonal skills.
- Self-directed and hands-on. Must take full ownership of work and be able to work with minimal to no supervision.
- Must possess a strong attention to detail and be extremely organized with a high degree of accuracy.
