We are looking to hire an Administrative Assistant to assist our Office Manager with administrative duties during the peak season. Position runs September through December 13th, 2024.
$17-$18/hr based on experience
SUMMARY
The Seasonal Customer Care Specialist will assist the Full-Time Office Manager and all other office staff (General Manager, Sales Manager, Sales Reps) during 4 Seasons Fundraising’s peak season. Tasks include, but aren’t limited to answering phones, data entry, printing, sorting, mailing brochures, and running reports.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following. Other duties may be assigned.
- Coordinate brochure shipments and pickups with Sales Reps and Office Manager
- Assist in answering and routing phone calls
- Run reports
- Print, sort, and mail brochures, sales materials, customer statements, etc.
- Organize orders received and prep for data entry
- Data enter orders into computer software
- File invoices
- Assist in keeping office clean and organized
- Track inventory of office forms, price sheets, order takers, and sales supplies and keep stocked

EDUCATION and/or EXPERIENCE
High School Education
2 years of Admin experience preferred
2 years of customer service experience preferred
Experience working with ‘time sensitive’ material and data with high need of first-time accuracy
LANGUAGE SKILLS
Ability to read, analyze, communicate and interpret effectively with 4 Seasons Fundraising staff and customers
Pleasant and patient customer service communication skills
Clear oral and written communication skills
COMPUTER SKILLS
Average skill level in all Microsoft office products, especially Word, Excel, and Outlook
Experience in using data entry processes and software, both numbers and words
Experience with time-sensitive deadlines – accuracy over speed
Ability to learn customer software applications
MATHEMATICAL SKILLS
Some independent decision making, and problem-solving abilities are required to maintain customer order accuracy and assist staff.
REASONING ABILITY
Mental capabilities to learn, comprehend, and communicate both orally and in writing. Logical thinking, the ability to manage multiple tasks and common sense are also necessary to accomplish tasks.
