The purpose of the Install Coordinator position is to ensure the efficient and seamless execution of installation projects by managing the logistics, communication, and administrative tasks associated with each job. This role is crucial in supporting the installation team, maintaining high standards of customer service, and ensuring all installations meet company and regulatory standards.
Key Objectives:
- Assist with morning briefs, ensuring the install team is fully informed about daily tasks, equipment, materials, and any special notes or requests.
- Assign and dispatch the installation team, ensuring each member is aware of their responsibilities and equipped for the day's work.
- Assign job numbers to retro boxes and maintain accurate records in an Excel spreadsheet.
- Close out previous day installs by pulling permits, registering equipment, creating QA/Final Inspection jobs, scheduling pending work, and ordering materials as needed.
- Review installation notes and update the install manager and IC team about any pending work or damages.
- Answer incoming customer phone calls and interoffice emails promptly, providing timely and accurate information.
- Schedule next day inspections with the corresponding jurisdiction and communicate with customers about pending QA/Final inspections.
- Work with the QA team to ensure QA/Final inspections are passed and installations comply with all codes and standards.
- Communicate any issues or pending tasks to the appropriate team members to ensure swift resolution.
- Communicate with Comfort Advisors about scheduling and equipment availability.
- Order all equipment and materials upon receiving requests from Comfort Advisors and coordinate with the Parts Department to ensure timely pickup or staging of necessary items.
- Verify by 4:30pm each day that all equipment and materials for the next day’s installations are staged and ready.
- Support and Collaboration:
- Assist with other tasks as assigned to support the overall operations of the installation department.
- Foster effective communication and collaboration among team members, including Comfort Advisors, the QA team, and the Parts Department.
