This position reports to CEO.
The Intake Specialist helps direct people to the services they need and is responsible for supervising the front desk operations. S/he will review and coordinate client assessments, and will monitor all follow-ups and communications with CCC programs. In absence of the Office Manager, s/he will perform the additional duties described under periodic functions.
- Bachelor’s Degree in Human Services or related field
- Bilingual English and Mandarin Chinese
- 1 year of experience in Customer Service and/or data entry
- Strong computer skills, including demonstrated experience with MS Office

- Welcome visitors by greeting them, in person or on the telephone; directing them to appropriate staff, classrooms and offices
- Answer, service and document all in person and phone requests pertaining to CCC programs
- Set up initial assessment with client; identify type of service necessary and make referrals to appropriate staff/program
- Maintain an accurate and comprehensive intake database
- Make sure program and event information is up-to-date on CCC website as well as the front kiosk
- Maintain security by following procedures, monitoring logbook and issuing visitor badges
- Distribute daily mail and incoming fax
- Responsible for daily maintenance of copy and fax machines in working mode
- Refill copier paper in mail room
- Control office supply room access and records
- Provide additional admin support when needed
- Responsible for space rental and preparation of leasing documents. Handle and support tenants‘ needs on behalf of CCC
- Coordinate internal space booking and scheduling, together with the Facility Manager
- Update the Center’s event calendar and post it on info TVs
- Order food/refreshments for on-site meetings as needed
- Performs other duties as assigned

- S/he will be flexible and adaptive in a fast-paced environment; and willing to learn new skills and techniques to promote program and agency quality and efficiency.
- Strong verbal and written communication skills. Must be able to communicate effectively with clients and staff. And must be patient with people who may have trouble communicating or understanding what is happening.
