Job Overview:
We are seeking an experienced Executive Assistant to support our Leadership team. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently.
Duties:
Client Relationships
- Assist in the coordination of client events, open houses, and other promotional activities.
- Maintain and update client databases, ensuring accuracy and confidentiality.
- Prepare and distribute closing gifts and oversee annual client gifting programs.
Operational Management
- Oversee day-to-day office operations, including ordering supplies and maintaining equipment.
- Manage the industrial printer, including processing and distributing company mailers.
- Keep the office neat and tidy.
- Track and order supplies to ensure the office is well-stockeds
- Manage shipments that arrive at the office, ensuring things get organized and put away.
- Run errands as needed to support team operations.
Team Support
- Train and onboard new agents, ensuring they are well-versed in company procedures and tools.
- Assist in the preparation of marketing materials and social media content.
Skills
- Strong organizational skills with the ability to prioritize tasks effectively.
- Experience in event planning and coordination.
- Proficiency in using tools like DocuSign for document management.
- Previous experience in office management or executive support roles.
- Familiarity with front desk operations and customer service.
- Excellent proofreading skills with attention to detail.
- Proficient in calendar management for executives.
- Basic clerical skills such as data entry and file organization.
Job Type: Full-time
Pay: $19.53 - $20.32 per hour
Expected hours: 40 per week
