SUMMARY OF FUNCTIONS:
We are looking for a highly motivated and organized Assistant Property Manager to drive net operating income growth through leasing, delinquency management, marketing, and resident retention. The Assistant Property Manager is responsible for resident relations, lease and renewal preparation, monthly accounting, and is capable of providing leadership and guidance for the rental office under the direction of the Property Manager. This position provides a foundational opportunity to develop managerial, interpersonal, and leadership skills required to excel in higher level management positions.
JOB RESPONSIBILITIES:
Marketing and Leasing:
· Respond consistently and effectively to phone, email, and walk-in inquiries from prospective residents.
· Abide by all state and federal Fair Housing laws and regulations.
· Show and demonstrate apartment homes utilizing sales skills, interpersonal skills, and knowledge of the property and rent policy.
· Perform follow-up with prospective residents utilizing welcome cards and lead reports.
· Assist prospective residents throughout the leasing and application process.
· Perform diligent review of each application including credit, rental, criminal, and employment history.
· Conduct periodic market surveys and make recommendations to Property Manager for current or future marketing and leasing plans.
· Walk vacant, ready apartment homes for quality assurance and control.
Lease and Renewal Administration:
· Prepare welcome guides for applicants, review for accuracy, and correspond with applicants if questions or concerns arise.
· Prepare and distribute renewal offers for existing residents.
· Utilizing OneSite’s online leasing and renewal platform, generate move-in and renewal leases. Email to applicants or residents for signatures.
· Review new move-in packages and renewal packages for accuracy and compliance with rent policy.
· Accurately file away fully executed leases, renewals, and application documents.
Legal:
· Assist Property Manager in distribution (email and hand delivery) of 5-day late notices.
· Prepare monthly unlawful detainer (UD) and writ of eviction (writ) packages for attorney.
· Respond to attorney regarding questions on UD or writ packages.
· Prepare post-residency collection files and email to attorney.
Accounting:
· Complete daily bank deposits.
· Review and file weekly report packages into cloud-based document storage system.
· Assist Property Manager in month close review process and report generation.
· Assist Property Manager in invoice coding and reconciliation of vendor statements to accounts payable system.
· Assist Property Manager in preparing final account statements (FAS) for former residents.
Maintenance:
· Assist Property Manager and Maintenance Supervisor in overseeing service requests, unit turns, and capital improvement projects.
Resident Relations:
· Assist Property Manager in community newsletters and promotion flyers.
· Assist with resident complaints and concerns regarding rent payments, service requests, final account statements, etc.
· Distribute pest control notices, update pest control log.
· Assist with planning of community activities and events.
ORGANIZATIONAL RELATIONSHIPS:
Reports directly to on-site Property Manager. In absence of Property Manager, the Assistant Property Manager must provide “in charge” responsibilities including leasing, accounting, legal, resident relations, and maintenance operations.
PROFESSIONAL REQUIREMENTS:
· Minimum 3 years experience in property management or leasing.
· Experience with Section 8 and LIHTC is preferred but not mandatory.
· Familiarity with affordable properties is preferred but not mandatory.
· Experience with Onesite, G5 Marketing, and OneSite Online Applications/Leasing is preferred but not mandatory.
· Experience with Microsoft office is mandatory, especially Word and Excel.
· High School diploma required.
· Familiarity with HDS Next Gen is preferred but not mandatory.
PHYSICAL REQUIREMENTS:
Must be able to perform the physical functions of the position, which may include, but are not limited to: ability to walk property daily, including multiple flights of stairs, to complete apartment inspections, deliver resident communications, and show apartments. Be able to effectively communicate with residents, staff, supervisors, vendors, etc. Must be able to lift a minimum of 40 lbs. to facilitate vacuuming, moving office furniture and lifting of supplies as needed.
