REPORTS TO: Director of Finance
CLASSIFICATION: Full-time, Non-Exempt Hourly
LOCATION: In-Person at Prodigy’s Austin Office
DESCRIPTION: Supports the physical office in Austin, Tx managing the administrative functions associated with overseeing an office setting as well as supporting the Operations Team as needed.
RESPONSIBILITIES
- Office:
- Collect mail daily and disseminate to appropriate department physically or by email
- Answer phones professionally and courteously and route to appropriate parties
- Meet and host guests as needed
- Scheduling vendor building maintenance as needed
- Maintain and update office and on call calendars
- Catering and events project coordinator
- Orders and maintains office and break room supplies
- Various other tasks and projects as needed for maintaining the upkeep of the office
- Various other tasks as assigned for assisting the operations team
- SalesForce:
- Contract filing and administration
- Interpret data, analyze results using statistical techniques and provide ongoing reports
- Identify, analyze, and interpret trends or patterns in complex data sets
- Identifying logistical efficiencies
- Data entry, data integrity, and data clean up
- Setting up, validating, and verifying products and summary products
- Manage data relationships and accuracy for new accounts, master territories, GPO memberships, and IDN memberships
- Executive Team:
- Executive team concierge services
- Schedule flights, hotels and transportation for sales conferences and business trips
- Work with management to prioritize business and information needs
- Expense reports for Executive Team as needed
- Licensing:
- Assist in State licenses for prescription drug distribution and devices (on the job training available)
- Annual reporting for various states
- Update and edit business SOPs at direction of COO
- Other duties as assigned
QUALIFICATIONS
- Bachelor’s Degree
- Work Experience – 2-5 years preferred
- Team player
- Ability to multi-task, prioritize, and manage time effectively
SPECIAL KNOWLEDGE
- Experience working with salesforce.com or similar CRM
- Experience with Microsoft Office products
PHYSICAL REQUIREMENTS
- Manual dexterity
- Ability to bend, stoop, kneel, crouch, crawl, and climb
- Ability to work in extreme temperatures
- Ability to lift and reach overhead
- Ability to regularly lift and/or move up to 30 pounds
