About the Village Institute:
The Village Institute is a holistic family development center for refugee and immigrant families in Northwest Aurora. Our mission is to cultivate a multigenerational ecosystem which uplifts the power of refugee and immigrant families and brings them closer with their neighbors.
The Village Institute operates two primary programs. Village Futures is a leadership, mental health, and career development program for refugee, immigrant, and first-generation teens and young adults.The Little Village is a Montessori-style early learning center that doubles as a teacher development program for refugee and immigrant educators. The Little Village is an LLC subsidiary of the Village Institute.
The Village Institute currently operates under the fiscal sponsorship of The Barton Institute.

You are rooted in and responsive to the communities we serve, and deftly balance unlearning and untangling systems of oppressions while navigating through current systems to meet our desired outcomes.
Primary responsibilities of the Chief Operating Officer include:
Systems and Operations (~35%)
- Leads the development, implementation, and management of organization-wide culture, teamwork practices, and Policies & Procedures, including staff-facing and program-specific Policies & Procedures; Makes appropriate updates/adaptations as needed
- Oversees the creation and implementation of appropriate organizational management systems related to intra-office communication, program/project management and evaluation, client data, etc.
- Supports Program Directors/Managers with development and use of program evaluation tools based on program objectives and grant outcomes
- Supports Program Directors/Managers with data analysis to inform report-writing as requested, and utilizing program data to recommend strategic organizational changes
- Designs and implements periodic data reviews in order to monitor progress, assess organizational impact, develop improvement strategies, and inform annual reports
- Oversees development and implementation of contracts with external consultants and partners, including HR, finance, food services, facility maintenance, and others
- Manages organizational budget and finances with support of Finance Specialist and key staff
- Supervises Facilities and Office Manager (currently 1 FTE) and Finance Specialist (currently part-time contractor)
Human Resources (~35%)
- Leads all functions of human resources, including managing any HR consultants and/or PEO (The Barton Institute currently serves in this role, with an external PEO firm)
- Manages the hiring and onboarding process for new staff
- Leads implementation of periodic staff performance reviews, performance management, and associated promotions, restructuring, and/or compensation updates informed by review process
- Designs and leads staff development initiatives, including supporting individual staff members with identifying PD goals and opportunities
- Oversees implementation of organizational Diversity, Equity and Inclusion strategy in conjunction with DEI consultants, CEO, and Board Equity Committee.
- Institutes measures to gauge employee satisfaction and sustain best practices while solving for areas where workplace culture can be improved.
Organizational Leadership - (~20%)
- Holds weekly meetings with the CEO and Director team to coordinate on human resources, site management, organizational leadership, and program evaluation/compliance
- Prepares data and insights related to organizational operations, finance, and culture to CEO and Board to inform short- and long-term strategic planning
- Works alongside CEO to manage and liaise with the Board of Directors, particularly around governance, strategic planning, and budget development/management
- Identifies and cultivates key community partnerships with leadership team
- Plans and co-facilitates leadership team meetings, all-staff meetings, team-building activities, and planning retreats with leadership team
- Collaborates with the leadership team and Board to develop strategy and staffing plan for Village Institute-wide events (i.e. fundraisers, volunteer events, etc.)
Other Tasks as Assigned by the CEO (~10%)
Requirements:
- Relevant undergraduate degree (Business/Finance, Human Resources, Human Services, Nonprofit Management, etc.), advanced degree preferred; relevant work experience may be substituted
- Five or more years of relevant work experience in operations, finance, administration, human resources, human services, or related field
- Solid organizational skills and excellent attention to detail
- Demonstrated ability to collaborate with team members, especially on a culturally diverse team
- Creative spirit, open mindedness, and willingness to learn as we build
- Must undergo a background check
- Must speak English fluently
Additional preferred skills and experience:
- Human Resources experience and previous experience staffing similar sized organizations
- Fluency and understanding with fiscal sponsorship or similar entity; Ability to manage transition of small organizations and scaling.
- Accounting skills and familiarity with accounting software preferred
- Personal experience as a refugee/immigrant/first-generation and/or experience working closely with refugee/immigrant populations
- Proficiency in at least one common refugee or immigrant language preferred
- Existing connections with current and potential community partners/funders is a plus
Pay and Benefits:
The Chief Operating Officer position pays $70,000-$85,000 annually, depending on skills and experience. This is a full-time, exempt position with hybrid in-person/remote options available. The following robust benefits package is offered to help promote a work/personal balance and wellness: 26 days of paid time off annually, 10 paid holidays plus business days between Christmas and New Year’s Day off, majority of the applicable health care premium paid along with short- and long-term disability and life insurance, and a 401(k) plan with a generous employer match. FSA, dental, and vision insurance available for purchase.
