Summary:
Plans, manages, and executes the day-to-day supply chain operations of Supply Chain Operations to include all supported facilities, with direct responsibility for receiving, inventory management, external and internal distribution, and transportation to supported activities outside the main campus. Ensures that facilities and departments are provided with quality products consistent with financial and customer service goals and objectives. These areas of responsibility ensure the accurate and efficient flow of vital medical and non-medical supplies and equipment from the point of entry into the facility through final delivery to the end user. This position is vital for the prevention of service failures in the supply chain which could result in negative patient outcomes. These duties may entail after-shift response to address staffing and operational questions.
Responsibilities:
- STAFF MANAGEMENT: Recommends selections of new employees, trains, motivates, supervises and evaluates assigned staff to ensure maximum utilization of individuals and group capabilities, while providing optimal service to both internal and external customers. Ensures that assigned employees receive opportunity to further their knowledge through scheduled evaluation, training, mentoring and coaching. Responsible for time recording and scheduling of all direct reports to include the management of Paid Time Off. Available 24/7 via pager or other means to react to situations that may occur during weekend shifts. Evaluates interviews and recommends applicants for hire. Conducts employee evaluations.
- CUSTOMER SERVICE: Work collaboratively with clinical staff, customers, management, supply chain leadership, vendors, other hospitals, and employees to ensure effective departmental operations. Resolves customer complaints/issues and notifies co-workers and management of unresolved issues to insure the timely resolution of problems and the smooth transition of shift changes. Schedule visits with end users to ensure effective communication and work relationships with all departments to provide superior customer service. Provides customer service to 5 satellite locations in the Dallas area.
- INVENTORY MANAGEMENT: Supervises the operations of the Distribution Storeroom ensuring that supply orders are maintained, tracked and verified to provide efficient inventory and distribution services to Children's Medical Center (CMC) departments. Responds to questions, problems and requests from CMC customers and ensure that distribution adheres to hospital requirements and standards. Work with end users to coordinate requisitioning, ordering, distribution of materials, supplies and equipment. Ensure the timely receipt of all incoming materiel and ensure proper storage/distribution. Evaluates ordering and requisitioning processes to ensure inventory levels of supplies are consistent with demand. Maintain material and equipment for the Distribution storeroom. Ensures overall integrity of inventory from point of entry to end use. Manages dated items. Assists in the development, implementation, and maintenance of inventory control policies and procedures. Helps promote standardization awareness of products and supplies that are available.
- PROCESSES AND PROCEDURES: Identifies and analyzes the design of jobs, work processes, work flow for the department and implements appropriate changes to improve effectiveness, productivity, and efficiency that support the overall goals of the department and CMC. Establish and implement programs to document the proper handling of requisitions, orders, receipt and storage of inventory items. Maintains established departmental and CMC policies and procedures, objectives, quality assurance program, safety, and environmental standards. Ensure that staff participates and follows all procedures. Ensure proper documentation in accordance with organizational policies and to ensure that an adequate document trail exists to ensure effective and efficient operations. This includes chargeable items within Omnicell cabinets to ensure they are stored in the proper location.
- QUALITY ASSURANCE / QUALITY CONTROL: Conducts department meetings, ensuring safety and environmental control. Conducts follow-up activities as determined and maintains area to a safe and clean standard. Performs periodic quality control checks to monitor the quality of products and services offered by CMC Materials Management distribution and ensure the integrity of the inventory. Ensures proper handling of retired equipment is followed to mitigate risks for the organization.
- Ensures compliance with applicable Children's Medical Center, Department of Transportation, Food and Drug Administration, Joint Commission on Accreditation of Healthcare Organizations, Occupational Safety and Health Administration and Texas Department of Health policies and regulations.
WORK EXPERIENCE
- At least 5 years experience in Supply Chain/Materials Management, preferably in a medical setting. (Required)
- At least 2 years experience in a management position. (Preferred)
EDUCATION
- Two-year Associate's degree or equivalent experience (Required)
- Four-year Bachelor's degree or equivalent experience (Preferred)
LICENSES AND CERTIFICATIONS
- Certified Materials and Resource Professional (CMRP) (Preferred)
