We are seeking a friendly, detail-oriented, and experienced individual to join our accounting team as Lead Administrator in our tax processing department. In this role, you will lead and coordinate a team to ensure that all tax documents are received and processed accurately and efficiently. Leadership Responsibilities
- Lead and coordinate a team of tax document specialists, ensuring that all tasks are completed accurately and on time.
- Train new team members on procedures for receiving, organizing, and processing tax documents.
- Monitor team performance, providing feedback and guidance to ensure continuous improvement.
- Develop and implement strategies to optimize the document receiving process and improve overall efficiency.
- Act as a point of contact for escalated client issues and ensure prompt resolution.
- Organize regular team meetings to discuss workflow, address challenges, and share best practices.
- Collaborate with management to develop and update training materials and standard operating procedures.
- Ensure compliance with company policies and legal requirements in all document handling processes.
Core Responsibilities
- Receive and sort all incoming tax documents, ensuring they are properly labeled and organized.
- Check the accuracy of received documents and verify that all required information is present.
- Input relevant data into our accounting software and maintain digital and physical files.
- Assist clients in person, over the phone, and via email, answering any questions and providing information on document submission.
- Collaborate with the Tax Preparation team to ensure a smooth workflow and timely document processing.
- Regularly update and maintain our system database with client information and document status.
- Maintain a high level of confidentiality and ensure that all documents are handled securely.
- Organize and prioritize tax documents for outgoing distribution.
- Prepare tax documents for mailing or electronic delivery.
- Ensure the accuracy and completeness of all outgoing tax documents.
- Collaborate with the Accounting team to address any questions or issues related to tax documents.
- Follow established procedures and guidelines for the handling of tax documents.
- Maintain accurate records of outgoing tax documents.
- Provide exceptional customer service to clients regarding tax document requests.
Requirements
- High school diploma or equivalent qualification.
- Previous experience in a similar role is preferred but not required.
- Strong attention to detail and excellent organizational skills.
- Ability to multitask and prioritize workload effectively.
- Proficient in using computers and basic accounting software.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Strong problem-solving and analytical skills.
- Proven leadership experience or potential in coordinating team activities and processes.
Expected Hours
- Full Time: 8:00 AM to 5:00 PM, Monday to Friday – This is not a remote position.
Pay Range
- $20 - $32 per hour, depending on experience.
