Ma'at Therapeutic Services is a dynamic Holistic Healing Private Practice that provides therapy to individuals, families and couples who are predominantly a part of the BIPOC communities.
Ma'at Therapeutic Service focuses on the connection between the mind, body and spirit in it's treatment, and specializes in healing the whole person.
We are seeking an outgoing, friendly and motivated Administrative Assistant to assist in operations at our growing, privately-owned therapeutic practice. This position is currently a 15-20 hours/week position. Potential to offer more hours/full-time in the future if great fit/suits practice’s needs, however not guaranteed.
Candidate must be professional, self-motivated (works independently), well organized, detail oriented, friendly and personable. We are looking for someone with the right combination of skills, work ethic, personality, integrity, positive attitude as well as the ability to communicate effectively. This individual needs to be upbeat, low maintenance, and a team player. Experience working in a mental heath/medical practice at the front desk, knowledge of mental health/medical insurance, medical billing terminology, scheduling is required. Customer service experience is a MUST. We are looking for a long-term employee who is able to work with a team as well as independently. Having problem solving skills and the ability to be resourceful is necessary to succeed in this position.
Responsibilities
- Welcome & greet all clients via phone (or in person when applicable)
- Answer the phone while maintaining a polite, consistent phone manner using proper telephone etiquette
- Register new clients & update existing patient demographics by collecting detailed patient information including personal & financial information, as well as insurance
- Schedule clients and communicate scheduling with therapists
- Facilitate patient flow by notifying the provider of clients' arrival, being aware of delays, and communicating with clients and clinical staff (when IN PERSON, when applicable)
- Responds to inquiries by clients, prospective clients, & visitors in a courteous manner
- Receiving and tracking payments
- Assisting billing department with gathering information
- Tracking authorizations, referrals, intakes, insurance verification
- Managing practice productivity
- Write and distribute email, correspondence memos, letters, faxes and forms
- Plan meetings and take minutes
- Attend conferences with practice owner. Provide needed assistant at speaking engagements.
- Maintain contact list of current clients
- Order office supplies when it is requested
- Protects patient confidentiality, making sure protected health information is secured by not leaving PHI in plain sight & logging off the computer before leaving it unattended
- Other duties as requested by Supervisor or Owner.
Job Qualifications:
High school diploma or equivalent
3-5 years customer service experience
Previous experience in healthcare administration or other related fields
Knowledge and/or experience in counseling/mental health environments (Preferred)
MUST be highly organized and self-motivated, with an ability to take initiative
Familiarity with medical billing procedures a plus
Excellent communication and customer service skills with both clients and staff
Ability to multi-task and follow direction provided
Proficient with computers, Microsoft Word, Excel, and knowledge of Google products
Typing minimum- 40+ words per min
Energetic, upbeat and positive attitude
Job Type: Part-time
Pay: $13.00 - $18.00 per hour
