The City Information Agent is responsible for providing exceptional city information services to visitors and convention attendees through a call center. The primary responsibilities include responding to phone calls and emails, managing hotel reservations, delivering visitor information, and supporting special projects and telemarketing initiatives. The goal of the City Information Agent is to ensure that visitors have a positive and memorable experience in Louisville.
PRIMARY DUTIES AND RESPONSIBILITIES:
- Answer telephone calls for information regarding convention housing, events and general city experiences.
- Routing calls to the appropriate channels.
- Process new hotel reservations, cancellations, changes, rooming lists and general inquiries for convention hotel reservations via the online Meetingmax hotel reservation system.
- Working a front desk including receiving packages, letting in visitors, and more.
- Provide visitor information regarding where to stay, restaurants, attractions, neighborhoods, transportation and more.
- Provide assistance with booking hotel reservations for leisure purposes through the online aRes reservation system.
- Respond to questions and general inquiries via email.
- Open and sort mail and faxes received and distribute appropriately.
- Assist with special projects as time allows to include data entry, mass mailings, gift wrapping and more.
- Call hotels to check hotel availability.
- Resolving issues by evaluating problems and complaints, researching issues, and providing solutions by working with the Housing & City Information Manager.
- Assist with telemarketing to potential attendee lists to assist in attendance building for incoming conventions and events.
- Occasional options to work at the Louisville Visitor Center, Welcome Center at the airport, offsite concierge desks, and more. This may require more standing.
QUALIFICATIONS:
- High school degree or equivalent
- Microsoft Office and general computer skills
- Customer service experience
- Knowledge of the Louisville area and passion for the city
- Superior oral and interpersonal communication skills
- Ability to work alone or with others inside the call center
- Ability to multi-task in fast paced and diverse work environment
- Accuracy and attention to detail
- Punctuality
Physical Requirements:
- Ability to lift up to 20 pounds
Shift Schedule:
- This position could range from 1-4 days a week and anywhere between 10-20 hours per week and may require some nights and weekends.
