Maxx Impact Group is currently seeking a Supplier Diversity Compliance Coordinator to join our growing team!
The Supplier Diversity Compliance Coordinator will be assigned to a specific project and is responsible for the implementation of the D/M/WBE program policies and procedures in assigned program areas which include architectural and engineering, construction, goods, professional and non-professional services and/or airport concessions.
ESSENTIAL JOB FUNCTION:
- Subject Matter Expert (SME) with the US DOT 49 CFR Title 26 and Title 23 program requirements.
- Strong familiarity with various supplier diversity and reporting software applications like B2Gnow, Prism, Supplier IO, LCPtracker, Power BI, SharePoint, and other digital resources.
- Ensure compliance, monitoring, oversight, and reporting of the DBE program requirements as set forth by the local ordinance and the certifying agency.
- Ensure the completion of and adherence to DBE/MWBE Utilization Plans, contractual commitments, and reporting requirements.
- Attend pre-bid, pre-proposal, and pre-construction conferences to explain program requirements and to respond to questions.
- Monitor assigned contracts for compliance with the Board's D/M/WBE Program requirements; maintain and update information for assigned contracts/agreements on an automated diversity management software; review, analyze and resolve contractual compliance and technical problems; recommend corrective action.
- Prepare PowerPoint presentations and conduct presentations and speeches at seminars, meetings, and civic functions to inform the public of contracting and employment opportunities at DFW.
- Compile and analyze statistical data and prepare ad hoc reports for assigned area(s) as requested including statistical data demonstrating DFW's D/M/WBE efforts and accomplishments.
- Coordinate/support small business outreach, networking and capacity building activities for diverse, historically underutilized, and/or disadvantaged populations
- Manage the DBE's prequalification and onboarding process. This would include the following activities: scope package review, Request for Proposals (RFP) preparation, pre-bid meeting coordination, submission evaluation, NAICS Code assignment reviews, coordination of post award submittals, etc.)
- Track and report the acquisition, completion, and accuracy of required project documentation throughout the lifecycle of the project, including project closeout.
- Represent the project team at external monthly, bi-monthly and quarterly stakeholder, industry, and partner meetings, information sessions, and other related activities
- Represent the project team at internal program status meetings with the client, the Owner and other key stakeholders as required.
- Perform monthly manual and electronic payment validation on behalf of prime contractor and ensure prompt payment to DBE/MWBE subcontractors.
- Perform file audits, project site visits, and Commercially Useful Function (CUF) reviews
- Prepare and maintain monthly and quarterly progress reports on DBE utilization, billings, payments, changes and modifications, and other key performance indicators
- Meet one-one ones with DBE/MWBE and non-certified firms as needed
- Work with internal and external project Directors, Project managers, superintendents, etc. to ensure adherence with policies and procedures.
- Track, document and ensure compliance of master and subcontractor agreement modifications/ changes
- Assist prime and sub-contractors with issue mitigation, prompt payment concerns and corrective actions as needed.
- Ensure complete and accurate data entry of subcontractor information, document control and record keeping.
- Assist with on-going evaluation, implementation, and recording of the Prime Contractor’s good faith efforts and documentation
- Facilitate and/or participate in capacity building programs, such as mentorship initiatives, business development/trainings, and other technical and supportive services
- Liaise with owner/agency, industry stakeholders, and small business community to report, educate and assist interested parties on DBE/MWBE program requirements and achievements
- Conduct compliance reviews in accordance with local Municipal Code/Ordinances and Minority/Woman-Owned Business Enterprise as required
- Assist with the development and implementation of program initiatives
- Perform other administrative and other compliance duties as requested
Minimum Required Qualifications
- Shall be a Subject Matter Expert (SME) with the US DOT 49 CFR Title 26 and Title 23 program requirements.
- Proficient with various supplier diversity and reporting software applications such as B2Gnow, Prism, SharePoint, and other digital resources. Experience with Supplier IO, LCPtracker, Power BI, etc. is a plus.

- Professional appearance and demeanor
- 4+ years of administration and analytical experience in public administration, audit, finance, accounting, construction, public works or related field
- Proficient with Microsoft Outlook, Excel, Word, PowerPoint, and Adobe Acrobat.
PREFERRED QUALIFICATIONS: EDUCATION/EXPERIENCE
- Bachelor's degree in business or public administration or a related field.
- Two (2) years of professional-level experience in analyzing and interpreting public sector contracts for compliance with governmental rules and regulations or two (2) years of progressively responsible administrative experience in minority/women/disadvantaged program areas.

- Experience with American Contract Compliance Association (ACCA) is beneficial.
TECHNICAL QUALIFICATIONS
- Proficiency with Microsoft Suite (Outlook, Word, Excel, PowerPoint, etc.)
- Proficient with various supplier diversity and reporting software applications such as B2Gnow, Prism, SharePoint, and other digital resources. Experience with Supplier IO, LCPtracker, Power BI, etc. is a plus.
- Experience utilizing cloud-based accounting and/or payroll reporting systems such as , PeopleSoft, Textura, Workday, LCP Tracker and other industry-related technologies considered a strong asset.
- Experience with project management software
- Willingness to learn and use various electronic apps and tools
