Position Overview:
We are seeking a motivated individual to join our team as an Office Manager Insurance Claims Supplementing/Estimator. In this role, you be assessing and supplementing insurance claims, accurately estimating repair costs, and ensuring compliance with company standards and industry regulations. You will also be in charge of running the office employees ensuring all tasks are being done efficiently and promptly.
Key Responsibilities:
- Manage the office and ensure that all employees are completing their tasks.
- Ensure timelines for supplements are being met daily.
- Scheduling office employees according to times needed in the office to complete tasks.
- Delegating duties for the office employees
- Being able to resolve customer issues within a timely manner.
- Evaluating office employee's performance and reporting back to President of the company.
- Review insurance claims and documentation to identify discrepancies and missing information.
- Collaborate with adjusters and policyholders to gather necessary information and documentation.
- Conduct thorough inspections of damaged properties to assess repair needs.
- Prepare accurate estimates for repair costs using industry-standard software.
- Supplement claims as needed to ensure all necessary repairs are covered.
- Communicate effectively with internal teams, external vendors, and clients to facilitate claims processing.
- Maintain detailed and organized records of claim files and correspondence.

Requirements:
- Strong attention to detail and analytical skills.
- Excellent communication and interpersonal abilities.
- Ability to work independently and as part of a team in a fast-paced environment.
- Proficiency in Microsoft Office Suite and experience with claims estimating software (e.g., Xactimate) is a must.
- Willingness to learn and adapt to changing processes and procedures.
- Ability to supplement insurance estimates for a busy roofing company.
- Ability to negotiate professionally with insurance adjusters.

- Implement any changes in procedures or documentation as required by new regulations or company policies.
- Collaboration:
- Work closely with the restoration and construction teams to gather necessary information and documentation for claims.
- Coordinate with external parties such as contractors and suppliers to support the claims process.
- Collaborate with the finance department to ensure accurate billing and financial reporting for claims.
- Training and Development:
- Participate in ongoing training and professional development to stay current with industry best practices.
- Train and mentor junior staff or new hires in claims handling procedures and policies.
- Oversee daily office operations to ensure efficiency and productivity.
- Develop and implement office policies and procedures.
- Manage office budgets, expense reports, and financial records.
- Staff Supervision:
- Supervise and support office staff, providing guidance and training as needed.
- Conduct performance evaluations and manage employee schedules.
- Office Coordination:
- Coordinate with various departments to ensure smooth workflow and communication.
- Organize and maintain office files, records, and documentation.
- Handle office supply inventory and place orders when necessary.
- Client Relations:
- Serve as the first point of contact for clients, addressing inquiries and providing excellent customer service.
- Schedule and manage client appointments and meetings.
- Technology Management:
- Ensure office equipment and technology are functioning properly and handle any troubleshooting.
- Oversee IT support and liaise with external tech support when required.
