Position Overview:
As a Front Desk Associate, you will serve as the first point of contact for our esteemed clientele, representing the essence of hospitality and professionalism. Your primary responsibilities will include greeting patients, scheduling appointments, managing inquiries, and ensuring the smooth operation of the front desk area. This role is instrumental in maintaining our practice's reputation for exceptional service and attention to detail.
Responsibilities:
- Greet patients upon arrival while providing a welcoming and personalized experience
- Exceptional phone etiquette and customer service
- Manage scheduling (office appointments and surgeon’s master schedule)
- Liaison between Surgeon’s societies/academic involvement
- Ability to comfortably promote bespoke aesthetic care
- Prepare patient paperwork, address emails promptly and professionally
- Ability to execute clerical tasks in a timely manner
- Assist Surgeon with administrative work (transfer dictations to typed documents, power point presentations, CV)
- Collaborate with other team members to ensure a seamless patient experience from start to finish
- Manage and create social media content as needed
- Inventory ordering
- Responsible for maintaining the presentation and organization of the front office
- Cross train with other team members, assisting them as needed
- Maintain patient records and confidentiality in compliance with HIPAA regulations
- Consistent and reliable attendance
- Other duties as assigned
- Access to PHI is limited to the minimum necessary information to accomplish the intended purpose of a particular use, disclosure, or request by physician or patient
Qualifications:
- Previous experience in front desk / customer service/ medical concierge, plastic surgery setting is a plus
- Exceptional interpersonal and communication skills, with the ability to interact effectively with diverse, high-profile clientele
- Strong organizational abilities and attention to detail, with the capacity to multitask and prioritize in a fast-paced environment
- Candidate must be punctual and reliable
- Proficiency in computer skills (Microsoft Office, PowerPoint, Canva) and familiarity with electronic medical records (EMR) systems (experience with Nextech is a plus)
- Demonstrated professionalism, reliability, and a commitment to upholding the highest standards of service excellence
- Knowledge of plastic surgery procedures and terminology is advantageous but not required.
